As a Payroll Manager (US) at NScale, you'll oversee all aspects of payroll operations, compliance, and administration for our U.S. employees. You'll be responsible for ensuring accurate and timely payroll processing, tax filings, and compliance with federal, state, and local regulations. You'll partner closely with HR, Accounting, and external vendors to maintain flawless payroll execution, streamline processes, and ensure compliance with evolving legislation. What You'll Be Doing
- Oversee end-to-end payroll processing for U.S. employees, ensuring accuracy, timeliness, and compliance with all applicable laws.
- Manage federal, state, and local payroll tax filings, including quarterly and annual returns (e.g., 941s, W-2s, and 1099s) for any not handled by PEO provider; coordinate responses to any state or federal payroll tax notices.
- Liaise with payroll service providers (e.g., ADP) to resolve issues, implement updates, and maintain data integrity.
- Conduct regular audits of payroll data, benefits deductions, and tax withholdings to ensure accuracy.
- Develop and implement scalable payroll processes and controls to support company growth.
- Prepare payroll‑related reports and metrics for Finance and HR leadership; support month‑end close with payroll journal entries and reconciliations.
- Stay current on U.S. payroll laws, multi‑state taxation, and labor regulations; ensure adherence to wage and hour laws.
- Respond to employee inquiries related to pay, deductions, and benefits with accuracy and professionalism.
- Partner with HR and Accounting on employee onboarding/offboarding, benefits administration, and equity compensation reporting.
Qualifications
- Bachelor's degree in Accounting, Finance, Human Resources, or a related field
- 5+ years of progressive experience in U.S. payroll management or administration
- In-depth knowledge of federal and state payroll regulations, tax laws, and wage/hour compliance
- Experience managing payroll across multiple states (multi‑jurisdiction)
- Strong technical proficiency in payroll software
- Advanced Excel skills for data analysis and reconciliation
- Excellent attention to detail and organizational skills, with the ability to handle sensitive information with discretion
- Strong communication skills and a collaborative mindset
