Personal Assistant to the Deputy Headteacher - Part time
Working Hours
Hours are negotiable; however, the postholder must be available to work 3 full days, one of which must be a Monday (8.30am to 4.30pm).
Salary
£15,750 - 17,000 (actual salary payable) based on 24 hrs per week, 32 academic weeks and 4 weeks additional, plus inset days.

Job Purpose
To provide high-quality, confidential administrative and organisational support to the Deputy Headteacher, supporting leadership across the Years 7-14 phase of the school, and enabling the effective day‑to‑day operation of leadership responsibilities.
Key Responsibilities
Administrative and Organisational Support
- Manage the Deputy Headteacher's diary, including scheduling and prioritising meetings and tasks.
- Provide administrative support for the preparation of meeting papers, resources and supporting documentation.
- Assist with timetable logistics and the organisation and arrangement of lessons as directed.
Communication and Liaison
- Draft and send professional correspondence, including emails, on behalf of the Deputy Headteacher.
- Communicate effectively with internal and external stakeholders, including staff, families, and external agencies, via email and telephone.
- Manage and distribute whole-school briefing notes and communications as directed by the Deputy Headteacher.
Meetings and Senior Leadership Support
- Prepare agendas for weekly senior leadership meetings, gathering agenda items from senior managers across the Years 7-14 phase.
- Ensure agendas are circulated in a timely manner.
- Take accurate minutes, follow up actions and circulate minutes promptly.
Events and School Representation
- Provide administrative and practical support for internal school events involving families during working hours.
- Support external local events where the school is representing itself, as directed by the Deputy Headteacher and within contracted working hours.
Systems and Data
- Use school management systems (e.g. SIMS) where required. Experience of SIMS is desirable but not essential; training will be provided.
- Maintain accurate records and documentation in line with school policies and data protection requirements.
Person Specification
Essential
- Excellent organisational and time-management skills with the ability to prioritise competing demands.
- Strong written and verbal communication skills.
- High level of discretion and ability to maintain confidentiality.
- Competent IT skills, including email, word processing and spreadsheets.
- Ability to work independently, proactively and as part of a team.
Desirable
- Experience working within a secondary or post-16 education setting (Years 7-14).
- Experience using SIMS or similar school management systems.
- Previous experience supporting senior leaders or executives.
Additional Information
- This role involves working closely with senior leaders across the Years 7-14 phase of the school.
- Flexibility within agreed working hours is required to support meetings and events.
