Job description

Outpatient service is a busy and friendly place to work; it is across seven areas and applicants will rotate between all outpatient areas as required. Receptionist 37.5 hours per week. Our local patient surveys and friends and family test praise our reception staff as being caring, professional and welcoming. Our services cover the full spectrum of clinics including minor surgery, medical, surgical clinics. Working with us offers experience in developing customer care skills, working with a multi‑disciplinary team, multi‑cultural patient group and offers training in relevant IT systems.

Responsibilities
  1. To work as part of the outpatient team, the post holder will be involved with reception duties across various locations.
  2. To perform supporting clerical duties to ensure smooth patient journey within Outpatients and to ensure clinics are cashed up promptly.
  3. To deal with telephone queries in a polite and professional manner and to follow up on any associated actions accordingly.
  4. Preparation of medical records in advance, ensuring that all relevant patient information and documentation are available for the consultation.
  5. To receive patients in the clinics, providing information and direction to them where appropriate. Keeping patients informed of the clinic's progress and any changes occurring.
  6. To ensure that all patient activity for each clinic is correctly recorded on Cerner according to departmental policies and procedures.
  7. To ensure that all patient information, such as demographic details and General Practitioner details etc. are correctly recorded on Cerner.
  8. To be responsible for the booking of appointments, amending patient appointments in line with the needs of the patient, where possible.
  9. To ensure to follow trust guidelines with booking of all appointments.
  10. To ensure clinics are cashed up as per trust policy.
  11. To provide quality, courteous, and personal care to all patients attending clinics.
  12. To remain calm and friendly during busy reception duties.
  13. To be responsible for the timely and efficient preparation of patient records in advance of clinic in accordance with departmental policies and procedures.
  14. To ensure that results of all investigations, reports, correspondence, x-rays etc. are available for the eyes / ENT clinics and files appropriately in the relevant patient record.
  15. To ensure that any missing case notes, results etc. are reported promptly to both the medical records team leader and the nurse in charge of the clinic.
  16. All case notes are tracked according to trust guidelines.
  17. To act as part of the clinic team which includes medical, nursing, medical records, and other clerical / professional staff.
  18. To ensure that all queries are dealt with in an efficient, helpful, and courteous manner.
  19. To liaise with other clerical, medical and nursing staff and facilitate good working relationships in all areas of mutual contact.
  20. To demonstrate good customer care relations within the clinic by acting in the best interests of the patient valuing each individual.
  21. To present a positive image of the Trust at all times.
  22. To ensure that communication is actively pursued within the post holders' area of responsibility and the department.
  23. To order supplies as directed by nursing and clerical staff and maintain stocks economically.
  24. Be prepared to attend and also to provide staff cover for both the Hillingdon and Mount Vernon site.
  25. To keep all reception areas clean and tidy.
