POSITION SUMMARY:

Reporting to the Operations Manager, the Operations Administrator will provide administrative support to the SEGA West Operations team, with a primary focus on the physical packaging supply chain – overseeing the manufacture and distribution of back catalogue products. Key responsibilities include order processing, logistics coordination, inventory tracking, procurement, and general departmental support as required. The role will involve building strong working relationships with first‑party partners, the UK warehouse, and distributors.

In addition, the position will support the digital operations function, primarily through the deactivation of digital keys, along with occasional ad hoc tasks as needed.

As the team utilises shared business tools across both physical and digital operations, the successful candidate will be expected to develop proficiency in these systems to effectively support the broader operations function.

KEY RESPONSIBILITIES:
  • Process sales orders and raise manufacturing purchase orders (POs)
  • Raising and process artwork and component invoices, including pricing checks
  • Maintain the Operations shared email inbox
  • File and receipt key documentations, including Customer POs, manufacturing POs, Order Confirmations, and delivery notes (for catalogue re‑orders)
  • Creation of Commercial Invoices
  • Produce and distribute daily shipping and stock reports
  • Deactivate digital keys as required
  • Provide daily administrative support across all areas of the Operations team, including both physical and digital disciplines
REQUIRED KNOWLEDGE, SKILLS AND EXPERIENCE:

Essential:

  • Proficient in Microsoft Office suite

  • Ability to multitask, work to deadlines and stay organized in fast‑paced environment.
