Operations & Administration Support Supervisor

This is a varied, people-focused office support and administration role providing high-quality customer service, team supervision and operational coordination within a busy professional environment.

This role is known internally as an Operations Support Supervisor (Administrative Supervisor)

SALARY: £24,500 per annum + Excellent Benefits (see below)

LOCATION: Exeter, Devon (EX2) – Fully Office Based with occasional travel to other South‑West locations such as Bristol and Southampton when required

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 35 Hours per Week, Monday to Friday 9am – 5pm

Job Overview

We have a fantastic new job opportunity for an Operations & Administration Support Supervisor to join a collaborative and service‑driven organisation based in Exeter. As an Operations & Administration Support Supervisor you will work closely with the Operations Support Manager to ensure the smooth running of office operations, delivering professional administrative support and a consistently high standard of customer service.

The Operations & Administration Support Supervisor will oversee day‑to‑day office activities, support staff and volunteers, and act as a key point of contact for visitors, enquiries and internal teams, helping to maintain a safe, welcoming and efficient workplace.

Duties
  • Office Operations Management: Supporting the Operations Support Manager to maintain and update office policies, procedures and standards
  • Team Supervision: Providing day‑to‑day supervision, coaching and guidance to Operations Support Coordinators and volunteers
  • Customer Service & Enquiries: Acting as a first point of contact and ensuring enquiries are handled professionally and efficiently
  • Administrative Coordination: Overseeing correspondence, record keeping, CRM systems and data management in line with GDPR
  • Reception & Facilities Support: Managing reception services, meeting rooms, post, deliveries, hot desks and visitor arrangements
  • Health & Safety Coordination: Supporting local health and safety activities, checks and compliance requirements
  • Workplace Liaison: Working with Workplace Services and external contractors to resolve issues and maintain office standards
  • Asset & Stock Management: Overseeing pool vehicles, office supplies, equipment and stock levels
  • Volunteer Support: Providing administrative support to volunteers, including coordinating communications and resources
  • Training & Systems Support: Supporting colleagues and new starters with office systems and administrative processes
Candidate Requirements
Essential
  • Previous experience in an office administration, customer service or business support role
  • Proven experience in supervising, coaching or supporting others
  • Experience handling confidential information with professionalism and integrity
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Confident user of Microsoft Office and office systems, including CRM databases
  • A proactive, people‑focused and team‑oriented approach
  • Eligibility to work in the UK
Desirable
  • Experience within a not‑for‑profit or service‑driven organisation
  • Knowledge of GDPR and data protection requirements
  • Experience supporting volunteers or multi‑site teams
  • Exposure to health and safety processes or office compliance activities
