About the Role

As an Office Management Assistant, you will play a vital role in supporting our Debrecen site and keeping the office environment efficient, organized, and aligned with our operational needs. You will work closely with site leadership, HR, and key internal stakeholders, providing administrative support, coordinating meetings, managing office supplies and services, handling guests, and contributing to corporate events. You will help ensure that our workplace remains clean, compliant, and welcoming for all employees and visitors.

Key Responsibilities
  • Support leaders with scheduling, business travel arrangements, and meeting coordination

  • Prepare, manage, and securely handle confidential documents and reports

  • Organize digital and paper-based documentation and maintain proper filing systems

  • Track office supply inventory and coordinate purchasing needs

  • Welcome visitors and coordinate safety onboarding activities

  • Oversee office cleaning services and ensure a tidy, efficient workspace

  • Assist HR with planning and executing company events and employee activities

  • Manage invoices and support basic administrative finance tasks

  • Coordinate company car-related matters and ensure compliance

  • Handle various ad-hoc administrative requests from leadership

  • Follow 5S standards and contribute to a clean and controlled work environment supporting BMW & DP World requirements

Requirements
  • Fluent in Hungarian and English (written and spoken)

  • Valid driving license

  • Strong organizational skills and attention to detail

  • Excellent communication and interpersonal skills

  • Proactive, adaptable, and able to work in a fast-paced environment

  • High level of confidentiality and professionalism

  • Ability to independently solve operational issues and elevate when necessary

  • Comfortable using MS Office and other basic IT tools
