Medical Workforce Officer

Permanent role within Nottinghamshire Healthcare NHS Trust’s People & Culture Team.

This position is part of the Medical Workforce Team, where the officer will coordinate all Medical Workforce activity, ensuring our doctors are supported, engaged and able to deliver outstanding patient care.

Job summary

The post holder will provide reliable data relating to doctors’ rotation, vacancies, recruitment, on‑call rotas and locum cover. Using independent judgement, the officer will organise all rotas and rosters, ensuring compliance with the 2016 Resident Doctors Terms & Conditions of Service and Working Time Regulations.

Main duties of the job
  • Coordinate Resident Doctor rotations, including design, exception reporting and work schedules.
  • Manage on‑boarding of Resident Doctors, performing pre‑employment checks and supporting induction processes.
  • Maintain on‑call rotas, ensuring they are fully staffed, up to date and compliant with legislation.
  • Provide timely, accurate and reliable advice and support to doctors and managers.
  • Respond to new legislation and service developments regarding medical staff shift patterns.
  • Monitor compliance with the 2016 Resident Doctor Terms & Conditions of Service and Working Time Regulations.
  • Coordinate locum cover, liaising with temporary services and medical agencies as appropriate.
  • Maintain databases and systems (ESR, Excel, Allocate E‑Rota) to support medical workforce operations.
  • Prepare reports and ad‑hoc projects as requested.
  • Attend and present at meetings to update on on‑call rotas and locum usage.
  • Act as the key point of contact for medical staff absences, leave and other queries.
  • Assist in maintaining accurate records for all Consultant, SAS and Resident Doctors matters.
  • Support the Guardian of Safe Working / Medical Workforce Manager with meeting reporting requirements.
  • Keep abreast of new medical workforce legislation and best practice examples.
Projects & development
  • Support the Trust’s Resident Doctor Engagement Plan.
  • Drive the digitalisation of Medical Workforce processes.
  • Contribute to continuous improvement across the service.

  • Excellent interpersonal and communication skills (written/verbal) with the ability to engage effectively at all levels of the organisation.
