Job description
Overview

As a member of the Large Joints Team, you will be part of a team providing secretarial support for consultants and junior medical staff. You will help ensure clinical correspondence (clinic dictations, imaging reports, and discharge summaries) is produced in a timely fashion as delegated by the Team Leader. You will look after patient tracking lists and ensure patients are treated within the RTT pathway. You will coordinate the junior secretarial support staff in the team and liaise with scheduled care list coordinators to maximise theatre utilisation and ensure patients are treated within targets.

Responsibilities
  • Assist with the typing of all correspondence relating to outpatient and in-patients, as well as typing departmental correspondence.
  • Liaise regularly with departmental managers to ensure departmental key performance indicators are achieved.
  • Maximise out-patient clinic capacity utilisation and ensure patients are treated within the 18-week RTT pathway.
  • Manage consultants’ and clinicians’ diaries, book meetings, and take minutes where appropriate.
  • Arrange clinic reductions/cancellations as appropriate for consultant/clinician leave.
  • Arrange patients’ new and follow-up appointments as required using the PAS system and liaise with appropriate departments.
  • Receive enquiries from patients and staff, resolving enquiries of a more complex nature as appropriate.
  • Liaise with all departments regarding day case admissions, waiting lists, ad hoc ward attenders and cancellations, ensuring hospital policies are adhered to.
  • Provide cross-cover for secretarial teams during annual leave and sickness.
  • Validate weekly primary targeting list (PTL) as delegated by departmental managers.
  • Co-operate in planning and introduction of new procedures, policies, or technology, assisting managers in their implementation.
  • Set up and maintain filing systems; ensure documents are accurately filed and appropriately archived.
  • Obtain investigation results and exercise judgment to ensure urgent results are highlighted and filed in the patient’s records.
  • Take responsibility for patients’ notes in the office and implement secretarial and administrative policies to track medical records and referral letters using the Patient Administration System.
  • Open and distribute post, prioritising urgent post and attaching relevant documentation; respond promptly to email correspondence.
  • Participate in staff appraisals and personal development activities as delegated.
