Medical Receptionist 30 Hours per Week The Village Surgery, Cramlington
We are looking for a friendly, well-organised Medical Receptionist to join our team on a 30-hour per week contract.
The successful candidate will play a key role in supporting patients and the practice team, ensuring a smooth and professional service.
Main duties of the job
- Provide a welcoming, efficient first point of contact for patients
- Handle enquiries in person, by telephone, and via electronic systems
- Manage appointment bookings and patient records
- Carry out general administrative and clerical duties
- Support the wider multi-disciplinary team

Job responsibilities
Reception
- Welcome visitors and handle telephone calls in a professional manner.
- Make and manage appointments using SystmOne, ensuring patient needs are prioritised appropriately.
- Complete all front desk tasks accurately and in a timely fashion.
- Maintain confidentiality at all times.
Tasks
- Follow practice protocols for logging and running patient requests.
Data Entry (with training)
- Follow up and investigate items requiring further action.
- Direct clinical data to relevant teams with clear guidance on expected outcomes.
Ad Hoc Duties
- Undertake any additional tasks reasonably requested by the Partners or Management Team.
Communication
- Communicate effectively with patients, carers, and colleagues.
- Adapt communication methods to meet the needs of individual patients.
- Recognise the importance of teamwork and contribute positively to team communication.
Quality
- Maintain quality and safety standards within the practice.
- Alert colleagues to issues relating to quality or risk.
- Take accountability for their own performance and actions.
- Contribute to team effectiveness by reflecting on activities and suggesting improvements.
- Work collaboratively with external agencies to meet patient needs.
- Manage their own time, workload, and resources effectively.
Person Specification
Qualifications
- GCSE (or equivalent) in English and Maths Grade C/4 or above
- Competence in IT systems (e.g. Microsoft Office, email, internet use)
- Previous experience in a customer-facing or administrative role
- Medical Terminology
Experience
- General office skills
- Awareness of Data Protection Act and need for confidentiality of Information
- Previous experience of working in a GP Surgery or medical setting
- Knowledge of SystmOne
