A legal services technology company is seeking a Legal Operations Lead to head their Document Handling and Production centre. You will manage a team responsible for document processing and maintain high operational standards. About the role
We’re looking for a Legal Operations Lead for our new Document Handling and Production centre to lead and scale Lawhive’s document management operations. This role is important to our next stage of growth and our continued transformation of the services that we offer to our lawyers to ensure that they can service all of their clients’ needs to a best-in-market standard.
Our Operations sit at the heart of Lawhive’s promise: making high-quality legal services accessible, fast, and trusted. You will be responsible for managing the team that manages, assigns and actions all document handling for incoming physical case file documents, and you will also oversee the production and send of correspondence, notices and court bundles on instruction from our lawyers while maintaining our SLAs, policies and processes.
Lead a small, rotational team of Lawyer Support Associates and embedded outsourced resources in our Document Centre for the management of all incoming mail, its sorting and assignment to cases.
Own and improve key metrics: improvement in speed of document scanning and assignment, ticket management for lawyer requests and delivery / servicing requests from lawyers (including for any document production, service and/or processing even where tight deadlines apply).
Work closely with our Lawyer Success team to ensure that all document processing is conducted in accordance with our processes and adheres to our policies and processes, and that any document processing is tracked on each specific document’s audit trail.
Manage relationships with staff from our third party suppliers that we operate with for specific key document stages such as secure destruction and long-term storage to ensure that those staff meet and adhere to our policies and processes.
Ensure full document audit trail is created and tracked through to either safe receipt by a third party or secure destruction for every physical document processed by Lawhive.
Establish Quality Control processes for our operations and provide an audit trail of the same, and help design training functions to accelerate ramp-up and improve consistency of new hires.
Build and mentor a high-performing team.
Leadership experience in Mailroom / Reprographics or general Operations within a legal services or highly regulated professional services environment.
Strong understanding of legal workflows and importance of adherence to regulatory and data protection standards.
Ability to scale operations in a high-volume scale-up where volume of requests and material handled is likely to continue to increase exponentially over the coming months.
Experienced leader who can inspire teams and build trust within the team and collaborate effectively with other teams and functions related to document handling such as in-house legal and lawyer success.
Proven record in driving operational standards within organisations.
Comfortable working with bespoke technological solutions to help automate aspects of the process and ability to up-skill on new pieces of software (such as Lawhive’s own proprietary software) to help enable quicker and more efficient processes.
Strong understanding of customer service principles and desire to provide best-in-market services to our lawyers and work with them collaboratively to service our clients’ needs.
