Job description

Stoke Gifford and Conygre Medical Centres are looking for a full-time administrator to join a friendly Prescribing Team in a busy surgery. The Prescribing Team process all incoming requests for medications as well as managing the chronic disease recall process. Working closely with clinical colleagues, they apply protocols and policies to support the medicines management process in a busy general practice setting.

Overview

Full time Prescribing Team Administrator (37.5 hours per week). The closing date is 12 October 2025.

Main duties of the job

Candidates must have a strong sense of customer service and the ability to support patients while applying the various surgery procedures. You must be pro-active and able to work well with minimal supervision. You will demonstrate initiative and problem solving skills and be a very effective communicator and team player. You will be enthusiastic, friendly and efficient and have the ability to adapt to changing demands.

The post is largely administrative but also involves both face to face and telephone contact with patients. Basic computer skills required and full training is given.

The role will also require use of spreadsheets and IT systems to support the long term condition recall processes. Good attention to detail and an organised and structured approach to working is essential.

About us

We are a very friendly GP practice, based near Parkway station on the N Bristol fringe - close to M32 and M4. We have a number of specialised teams that support the GPs in providing patient care to over 18,500 patients. The prescribing team work closely with our GPs and Pharmacists to safely and efficiently process medication requests and queries. They also manage the chronic disease recall processes.

Job responsibilities

The post-holder works under the indirect supervision of the Prescribing Team Leader and undertakes tasks and duties delegated by the Prescribing Team Leader or suitably qualified regulated healthcare professional, following policy and procedures. The post-holder will support and assist the clinicians in the provision of patient care Stoke Gifford and Conygre Medical Centres. You will provide a professional, safe and efficient prescription service. You will help patients to get the best from their medicines through an accurate and efficient repeat prescribing process. You must work at all times within your own competence.

Job Responsibilities

Assist in the delivery of a robust, responsive and safe system for prescribing repeat medications as per business protocols.

Provide an efficient prescriptions administration service as part of the Medicines Management Team.

Responsible for following the relevant protocol to; safely, appropriately and efficiently:

Review prescription queries to identify why a medication was not prescribed.

Verify prescriptions as per protocol and within your own scope and boundaries.

Process prescriptions in accurate and in a timely manner

Escalate prescription queries issued to you by the wider team as appropriate.

Responsible for demonstrating an awareness of the scope/boundaries of your own responsibilities, decision making, skills and knowledge.

Follow relevant and local protocols related to the job role.

Manage prescription requests from Appliance Contractors in an efficient and timely manner.

Use and maintain information systems and databases relevant to your role.

Triage telephone enquiries from patients, carers and the wider multidisciplinary team in a prompt and professional manner, supporting good customer and patient care.

Liaise and build good working relationships with external pharmacies to help enable our prescription service.

Actively seek and promote repeat dispensing.

Maintain accurate and up to date patient records in accordance with data protection principles to ensure patient confidentiality.

Ensure messages/voicemails are dealt with in an appropriate and timely manner.

Monitor and action tasks via the clinical system.

Produce reports as and when required.

Filing and retrieving paperwork.

Assist with the training of other staff members.

Contribute to achievement of the highest possible quality standards such as the QOF and other KPI targets.

Positively facilitate change.

Undertake additional tasks as required within your general role as Prescription Clerk.
