Job summary

A local charitable organization in Blackpool is looking for a part-time Finance and Administration Coordinator. The role involves managing day-to-day finance duties, working closely with the CEO. Ideal candidates will have bookkeeping experience, educational qualifications in finance, and strong administrative skills. Qualifications

Overview

Location: Blackpool

Salary: A GBP 37,500 (FTE). Actual salary A GBP 30,000 per annum

Vacancy Type: Part Time, Permanent

Hours: 30 Hours per week (over 4/5 days)

Purpose of the Role

Working closely with the CEO and Service Manager, the job holder will be responsible for day-to-day finance duties and coordinate the administrative operations of Fylde Coast Womens Aid to provide a reliable support function which covers all operational areas including Finance and facilities management.

Responsibilities
  • Finance and Resources Duties
    • To ensure all financial transactions are properly recorded using SAGE and Excel
    • Monthly reconciliation of the bank accounts
    • Prepare annual estimates on income and expenditure and formulate the budget in consultation with the CEO, Service Manager and Treasurer
    • Monitor and control income and expenditure in line with agreed budget, maintain funding streams, arrange payment of all invoices and orders in line with agreed policy
    • Maintain effective internal controls to ensure all expenditure is properly accounted for, the assets for the charity are maintained, and all accounts are ready and prepared for audit and ensure compliance with all auditors recommendations
    • Assist in the preparation and submission of bids for funding
    • To prepare bi-monthly accounts for the Trustees
    • To reconcile petty cash
    • Submit statutory accounts to the Charity Commission by due date, and to funders as required
  • Office Administration
    • To manage the day-to-day administrative functions of FCWA, putting in place clear procedures and systems to enable all administration to be completed efficiently and effectively.
    • To ensure filing systems are maintained, secure and up to date.
    • To be responsible for ordering supplies as required.
    • To manage receipt of all donations made to FCWA, coordinating collections as required.
    • To monitor multiple FCWA email addresses and respond to all queries in a timely manner.
    • Take and distribute minutes and action points of any relevant meetings
  • Facilities Maintenance
    • To ensure building and facilities are maintained to an acceptable standard
    • To conduct health and safety checks and risk assessments at FCWA office
    • To arrange maintenance work on FCWA workplaces, including sourcing quotes and planning for work to be completed
  • General Responsibilities
    • Contribute to the overall development of Fylde Coast Womens Aid services by attending team meetings.
    • Participate in training and developmental working groups as agreed by the post-holder and Service Manager.
    • Support the implementation of FCWA policies and procedures within FCWA services.
    • Develop effective and supportive working relationships with all FCWA staff.
    • Assist in and maintain effective communication which promotes free flow of non-confidential information and issues within Fylde Coast Womens Aid, other agencies, and members of the public.
    • Ensure work is completed within specified timescales.
    • Maintain professional practice in line with Fylde Coast Womens Aid aims and principles.
    • Carry out any reasonable duty as directed by the CEO/Service Manager
