Facilities Assistant

Location: Hayes

Salary: £27,000 - £32,000 per annum

Contract Type: Permanent, Full-Time

We are seeking a proactive and customer-focused Facilities Assistant to deliver a full range of mailroom and facilities services at our client’s site in Hayes. This is a varied and hands-on role that combines administrative support with general maintenance, meeting room set-ups, and occasional reception cover.

The ideal candidate will take pride in providing an excellent level of service, ensuring the site operates smoothly and efficiently while maintaining strong working relationships with both the client and on-site staff.

Key Responsibilities
  • Accurately sort, distribute, and process all incoming and outgoing mail, ensuring compliance with company and client procedures.
  • Manage stationery stock, ordering and issuing supplies as required.
  • Assist with general maintenance tasks such as replacing light bulbs, hanging picture frames, and changing canvas prints.
  • Support meeting room set-ups, porterage duties, and maintain tidy, hazard-free storage and communal areas.
  • Provide reception cover during breaks and absences, ensuring a professional and friendly service.
  • Liaise with client representatives and assist with supervision of contractors performing maintenance or project work.
  • Proactively report building issues or defects to the helpdesk or facilities manager.
  • Provide first-line AV support, escalating technical issues when required.
  • Respond to building emergencies as necessary and follow appropriate escalation procedures.
About You
  • IT literate, with strong working knowledge of Microsoft Excel, Word, and Apple systems / software.
  • Excellent interpersonal and communication skills, with a professional and courteous manner.
  • Flexible, reliable, and able to work well under pressure.
  • Strong problem-solving ability and attention to detail.
  • Previous experience in a facilities, mailroom, or general maintenance role preferred but not essential.
