Overview
Scolmore have an exciting opportunity for an Export Coordinator to join our busy Customer Service team. The successful candidate will be working as part of the Export team to co-ordinate the effective movement of goods globally to fulfil the needs of internal and external customer orders, whilst adhering to customs and shipping requirements. Also supporting the Export Sales Managers and Middle East office as required.
Main Duties
- Order & Shipment Management
Co-ordinate the end-to-end export process for global customer orders, including quoting, booking, and re-charging freight. - Order processing
Process customer and inter-company orders using Sage and other internal systems. - Monitoring & Invoicing
Monitor order statuses, back orders, and daily reports to ensure timely despatch and invoicing. - Customs & Documentation Compliance
Prepare all international shipping documents, including Commercial Invoices, Packing Lists, and Certificates of Origin. - HS Codes & Compliance
Ensure accurate application of HS Codes and stay updated on changing customs requirements. - Export Documentation
Obtain, authorise, and file all export documentation and invoices (e.g. C88, Waybills, freight invoices) within required timeframes. - Middle East Operations Support
Provide operational support to the Scolmore Middle East team regarding processes, training, and stock management. - Purchase Orders & Stock
Manage Scolmore Middle East purchase orders, stock GRNs, and monthly invoices. - Regional Movements & Exhibitions
Co-ordinate goods movements for regional exhibitions and process sample orders. - Inventory & Data Integrity
Monitor export stock levels and co-ordinate movements between warehouses and group manufacturing plants. - Warehouse Liaison
Liaise with the warehouse regarding picking priorities, order changes, and bespoke requests. - Data & Customer Records
Maintain the customer database and report issues with stock data or commodity codes to the technical and purchasing teams. - Communication & Problem Resolution
Act as a point of contact for internal staff, customers, and freight forwarders to resolve delivery or customs issues. - Escalation
Escalate operational issues, mis-picks, or credit control concerns to senior management when required. - Manager Support & Teamwork
Support and assist Export Sales Managers and the Middle East General Manager where required. - Cross-Department Collaboration
Work with all other departments (e.g., Credit Control, Technical, IT) to ensure the export administration function is completed efficiently. - Administration
Complete general administration duties, including scanning paperwork and other tasks assigned to support the wider team.
Candidate Requirements
- Experience
Essential experience in export procedures and familiarity with Sage or similar CRM databases. - Communication
Excellent written and verbal communication skills with a strong customer service focus. - Technical Skills
Proficient in Microsoft Office, particularly Excel. - Aptitude
Ability to prioritise a heavy workload in a fast-paced environment whilst demonstrating initiative and problem-solving skills.
