Overview

If you're a talented Executive Assistant with a passion for making a difference in a busy and fast paced environment, this is an opportunity to join us. The Executive Team is responsible for the running of the hospital, and the Executive Assistant is a key position to support the Executives to deliver their duties on a day-to-day basis. The post holder will hold the position of Executive Assistant to the Chief Operating Officer within the Chief Executive’s Office to provide comprehensive and efficient secretarial and administrative support. This role interfaces on a regular basis with the Executive Team, senior managers and a wide variety of Trust staff and external organisations/individuals. Experience of complex diary management at Director or Senior level is essential and will be discussed in depth at interview stage.

Responsibilities
  • Provide comprehensive and efficient secretarial and administrative support to the Chief Operating Officer and related Executive Directors.
  • Manage complex diaries and coordinate papers, actions and meetings across the Executive Team.
  • Administer databases and use IT packages at an advanced level (Word, Excel, Outlook, Teams, PowerPoint).
  • Take minutes up to Senior Management Team level and support coordination of papers and actions as required.
  • Collaborate with the Corporate Services Team and work with the Corporate Governance Manager and Associate Director of Corporate Governance to manage workloads in support of Executive Directors’ portfolios.
  • Interface with a wide range of Trust staff and external organisations/individuals on a regular basis.

  • Experience of complex diary management at Director or Senior level (essential).
  • Strong secretarial and administrative skills with advanced IT proficiency (Word, Excel, Outlook, Teams, PowerPoint).
  • Ability to work in a busy environment and support executive level priorities.
