Executive Assistant to COO & MD (12m FTC)

Location: Office Based in Bournemouth

Working hours: Monday – Thursday, 20-25hrs per week (please discuss alternative working patterns with us if needed)

Contract: 12 month Fixed-Term Contract (maternity cover)

Expected start date: 3rd February 2026

Key responsibilities
  • Provide high-level EA and business support to our COO & UK MD
  • Manage a complex and busy diary, including scheduling meetings and coordinating priorities
  • Prepare reports and presentations for the COO and wider leadership team
  • Attend meetings and take minutes when required, ensuring actions are followed up promptly
  • Arrange travel and accommodation for the COO and visiting colleagues as needed
  • Liaise with central teams on HR, Finance, Training, and Health & Safety matters
  • Coordinate and maintain contracts, and manage company signatures and documentation
  • Support and assist with tender submissions, ensuring all paperwork is completed within deadlines
  • Handle sensitive and confidential information with professionalism and discretionAct as the main office contact for sister companies reporting to the COO
  • Take ownership of projects, tasks, and research assigned by the COO
  • Act as line manager to the Office Manager, including conducting 121s, reviews, approving holiday requests and supporting general queries
  • Plan and coordinate internal events and staff gatherings.
  • Be the main contact for company hospitality and entertainment arrangements
