Executive Assistant to the CEO

Location: Tower Hill – Minimum 2 days onsite per week (Tuesdays essential)

Hours: 08.45 – 17.00

Salary: to £47,500 ( 33 days annual leave plus bank holidays)

Executive Assistant to CEO – 11-Month Contract (Hybrid)

Location: Tower Hill, London (minimum 2 days onsite per week, including Tuesdays)

Our client, a well-established charitable organisation based near Tower Hill, is seeking a highly motivated and experienced Executive Assistant to provide high-level support to the CEO for an 11-month period/ contract.

This hybrid role requires a minimum of two days per week onsite, one of which must be a Tuesday. The remaining days can be worked remotely, depending on the needs of the role.

As the first point of contact for the CEO’s office, you will play a pivotal role in a wide range of activities including communications, governance, HR, complex diary management, and coordination of special projects. You will work closely with senior stakeholders—such as VIPs, Royalty, Lords, and government ministers—so a high level of professionalism, discretion, and diplomacy is essential. This is a varied and dynamic role within a collaborative and cohesive team environment.

Key Responsibilities

  • Organise and support Board, Court and Committee meetings, including preparing papers and taking minutes.
  • Maintain governance and HR records, including staff personal files.
  • Coordinate the CEO’s diary, booking meetings, rooms, travel and accommodation.
  • Manage the CEO’s inbox and correspondence, drafting and preparing reports, letters, and emails.
  • Represent the CEO at meetings when required.
  • Maintain effective filing systems and databases.
  • Communicate daily with internal teams and external stakeholders, including VIPs.

About You

  • Available to start immediately ( within 1 week)
  • Minimum of 3 years’ experience in a similar executive support role
  • Experience in minute-taking and preparing formal documents
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and confident using databases
  • Outstanding time management and interpersonal skills
  • Superb attention to details
  • Comfortable acting as the first point of contact for senior-level communications
  • Demonstrable experience in a busy office environment
