Core Responsibilities
  • Provide a high level of professional secretarial and administration support to the Audit Department.
  • Ensure that clients (internal and external) are dealt with efficiently and politely.
  • Assist in Audit secretarial tasks, including but not limited to:
    • Creating a wide range of documents including contracts, presentations, agreements, reports, proposals, meeting agendas and other documents, using Word, PowerPoint and Excel.
    • Overseeing senior stakeholder engagement, including effective collaboration with other EAs in terms of diary management and maintaining effective stakeholder relationships.
    • Assisting in compiling Management Information (MI) reports, triage and allocate internal client requests, tracking actions and preparing agendas and minutes for internal meetings.
    • Assisting with the production of papers for internal and external use (printing, photocopying, binding and delivery to clients).
    • Dealing with routine correspondence (telephone, written, email) and referring to other staff as appropriate.
    • Travel arrangements, including production of detailed itineraries.
Qualifications
  • Previous experience in performing a senior assistant role with proven competence in diary management using Outlook, including ability to proactively manage diary conflicts.
  • Proven administrative, secretarial, document production and PA experience, along with advanced knowledge of MS Office packages (Word, PowerPoint, Excel).
  • Experience with internal financial and expense management systems and following internal financial and billing processes is desirable.
  • Dealing with IT and Facilities as required (procuring equipment, investigating IT issues, new starter setups, etc.).
  • Prior experience in Audit preferred.
  • The candidate should be seen as approachable, helpful, discreet, organised, efficient, capable of working with minimum supervision, able to work to tight deadlines, proactively prioritise tasks, and a collaborative team player.
