Executive Assistant/Coordinator

  • Annual Salary: £35,000 - £45,000
  • Location: York – very easy commuting links
  • Job Type: 37.5 hours a week with Fridays remote working.

I am currently recruiting for a very exciting position for a client I’ve been admiring the growth of for a while. We are currently seeking an Executive Assistant to provide comprehensive support to the Chairman of the Board and the Board team. The successful candidate will manage the Chairman’s diary, prepare for meetings, and coordinate both UK and international travel. This position requires a proactive, resourceful individual who can handle multiple priorities in a fast-paced environment and deliver high‑quality operational and administrative support.

Day‑to‑day of the role:
  • Meeting Support: Take accurate notes, capture actions, and ensure effective follow‑up in high‑level meetings. Prepare and distribute agendas and collate supporting materials.
  • Travel & Itinerary Management: Arrange and coordinate complex travel plans and itineraries, ensuring all logistics are seamlessly organised.
  • Executive Assistant Duties: Manage the Chairman’s diary, coordinate meeting logistics, and handle confidential correspondence with professionalism.
  • Personal Assistant Duties: Manage personal appointments and handle confidential matters for the Chairman.
  • Event & Away Day Support: Plan and deliver Board Away Days and strategic events, overseeing logistics and ensuring smooth execution.
  • AI & Digital Tools: Use AI and digital tools to streamline processes and improve efficiency.
  • Stakeholder Liaison: Build strong relationships and act as a key point of contact for the Chairman’s office.
Required Skills & Qualifications:
  • Experience: Proven experience supporting senior leaders or cross‑functional teams.
  • Skills: Excellent organisational and time management abilities, strong interpersonal and communication skills, and proficiency in using digital tools and AI.
  • Knowledge: Proficient in Microsoft Office, Teams, SharePoint, Planner, and familiar with AI tools like Copilot and ChatGPT.
  • Personality: Dynamic thinker able to forward think and work with intuition.
