Job description
Deputy Head of Clinical Administration

The post holder will be joining our Performance & Informatics (P&I) department, the largest corporate service in the Trust. The P&I portfolio covers Business Intelligence & Informatics, Corporate Performance, Information Systems Development, Clinical Coding, Data Quality, Patient Access, Cancer Services and Analytical Development.

P&I works cross‑functionally to support the Trust’s operational delivery of national and internal targets, ensuring the highest standards of patient care. A robust Performance Management Framework is embedded across UHCW, tracking and evaluating progress and supporting both operational and clinical governance frameworks.

New national opportunities are being developed in health inequality, waiting list management and system working. Notably, the HEARTT tool, awarded the ‘Innovation and Improvement in Reducing Healthcare Inequalities Award 2022’ and the ‘Best Healthcare Analytics Award 2024’, was developed in partnership with IBM and Celonis.

Successful applicants will be required to provide an immunisation and vaccination report, from either their current UK occupational health provider or their UK GP.

Main duties of the job
  • Assist the Head of Clinical Administration in planning, development and redesign of services and processes to improve patient administration across Clinical Coding, Data Quality and Ward Clerks.
  • Develop, deliver and sustain training packages around patient administration.
  • Line‑manage teams directly responsible for the delivery of patient administration, including the Clinical Coding team, Data Quality team and Ward Clerk team.
  • Provide key support and resources to Clinical Groups in the operational management and delivery of patient administration performance. Challenge and govern recovery plans to achieve improvement of coding and data quality performance.
  • Assure the Trust on compliance of policy and performance reporting for clinical coding, data quality with conjunction with the Ward Clerk team, ensuring the Trust achieves its national IG requirements.
  • Deputise for the Head of Clinical Administration for internal and external commitments as required.
  • Maintain a skilled Clinical Administration team capable of specialist skills and knowledge to support the Trust in performance management.
  • Achieve improvement in the completeness and accuracy of data recording and ensure data quality processes are in place.
Job responsibilities
  • Regularly monitor targets for the Trust and provide papers/reports to senior managers and Trust Board on Coding, Data Quality and Ward Clerk aspects, providing updates, escalation and translating complex information.
  • Work with Informatics and IT application management teams to ensure systems fully support accurate pathway management for internal and external reporting.
  • Attend and chair necessary meetings with the Director of Performance & Informatics to provide governance and assurance on clinical administration delivery.
  • Provide leadership and motivation to the Clinical Coding, Data Quality and Ward Clerk teams, supporting their personal and professional development.
  • Formulate and be responsible for the implementation and review of the Clinical Administration policies and aligned standard operating procedures, including responsibility for the maintenance of a user‑friendly Intranet site.
  • Analyse complex problems with regard to administration management and work with clinical services to devise practical and workable solutions.
  • Responsibility for the budget within your team, regularly reviewing establishments and skill mix to ensure they are effectively managed and have organisational efficiency.
  • Build relationships with service users/clients and develop service improvement plans based on user discussion and SLAs.
  • Act as the primary contact for service users throughout the Trust and serve as the named Senior Manager for one or more clinical or corporate divisions, ensuring a coordinated approach to delivery.
  • Take a lead role in interpreting guidance in areas of key responsibility and implement key policy/guidance initiatives.
  • Undertake any internal or external training courses required by the role, as well as mandatory training in line with UHCW policy.
  • Be aware of, and abide by, Trust policies across the whole business.
