Overview

The Pennine Network is looking for a Ward Administrator to join our admin team on a part-time, permanent basis. An exciting opportunity has arisen within our Inpatient Mental Health Services, for a Ward Administrator to join our admin team on a part-time, permanent basis. The closing date is 14 October 2025.

Main duties / Responsibilities
  • Receive, allocate and dispatch internal/external mail in line with the Trust policy.
  • Provide a comprehensive administrative service which will include minute taking, live minute taking, compilation of reports and other correspondence on behalf of the ward manager and other members of the team, ensuring a high standard in accordance with Trust standards.
  • To create and maintain effective working relationships with staff at all levels, internal and external across the whole health economy.
  • Work collaboratively with the appropriate management teams and other departments, including clinicians, to ensure that the appropriate leads are notified in the case of matters of urgency and dealt with in a timely manner.
  • Attend and participate in team meetings and admin services meetings as required.
  • Take responsibility for answering telephone calls in a polite and professional manner, ensuring the dignity, respect and confidentiality of the patients is always maintained.
  • Provide cover for other clinically based ward clerks during leave/sickness on an ad-hoc basis as required.
  • Provide general cover during annual leave and sickness of other administration staff.

  • Previous experience as a Secretary/Administrator including diary management
  • Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment
  • Experience of supporting and minuting meetings
Education/Qualifications
  • NVQ Level 4 or equivalent experience
  • Good level of general education including Mathematics and English at GCSE or equivalent
