Job summary

A regional healthcare provider in Plymouth is seeking an Administrative Support professional at the Royal Eye Infirmary. This role involves providing clerical and reception duties, adhering to strict policies, and ensuring patients' needs are met efficiently. Ideal candidates will have GCSEs in English and Maths or an equivalent qualification, excellent communication skills, and the ability to handle various administrative tasks. The position offers a permanent, full-time contract with a salary of £24,465 annually.

Job Summary

To provide clerical and administration support in the appointed area within the Royal Eye Infirmary.

Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.

Main Duties

This post is part of a professional team working in the Royal Eye Infirmary. The key responsibility of this role is the efficient/accurate administration and reception cover for the outpatient and inpatient services with strict adherence and compliance to the Referral to Treatment Access Policy and APN's (Administrative Procedure Notes).

Job Responsibilities
  • Receive and welcome patients and relatives to the department and direct them to appropriate waiting area.
  • Compile and sort patient clinic attendance sheets and be responsible for checking that clinics have been received into Reception.
  • Ensure that the In Touch system is kept up to date for patients arriving using the Self Check In Kiosks in the reception areas.
  • Be responsible for admission and discharge of patients attending for minor or day case operations, adding the appropriate procedure code where necessary.
  • Ensure patients' details are up to date on the computer system and update front sheet and labels of Health Record Folder notes as necessary.
  • To ensure that a clear understanding of data quality and data protection guidance is achieved and adhered to.
  • To ensure a firm understanding of all administration processes in the Referral to Treatment Access policy and APNs (Administration Procedure Notes) and be able to work to this level.
  • Train on the job through instruction and practice and by attending Patient Casenote, Information Governance, iPM and Medisoft training.
  • Ensure patients not eligible for treatment in the hospital complete the appropriate process (e.g. overseas visitors).
  • Provide direct patient contact with empathy and tact, handling anxious, angry or upset patients.
