The Vacancy

Are you looking for a challenging, rewarding and meaningful business support role at an organisation that’s tackling global land use issues and exploring solutions to the multiple crises relating to climate, biodiversity, food security and energy? The James Hutton Institute is a well-respected and globally recognised independent research organisation, delivering fundamental and applied science to drive the sustainable use of land and natural resources.

The ideal candidate will have experience of providing administrative support to a range of internal and external stakeholders, have the ability to plan and organise meetings and events and demonstrate flexibility and willingness to support change within the organisation. You should have the ability to work independently with strong organisational and time management skills. You must be proficient in MS Office Software specifically Outlook, Word, Excel and PowerPoint. Excellent communication skills and attention to detail are essential.

The post is based at our Invergowrie site; however you may be required to travel to other locations as and when required. This post is fixed term for 12 months.

Some of the main duties of the postholder include :
  • Provide comprehensive administrative support to departments, teams and managers, including event planning, as required to support business needs.
  • Manage and assist with data management reporting, annual reports, diary management, minute-taking, document preparation, and departmental and / or other planning and coordination to meets the needs of the organisation.
  • Communicate directly with internal and external stakeholders.
  • Organise travel and accommodation as required.
  • Support financial processing such as raising purchase orders, processing invoices, and monitoring budgets.
  • Manage onsite space, particularly science department office space, and office supplies, equipment, and inventories.
  • Support implementation of business support procedures and operational workflows
  • Contribute to service improvement projects and initiatives as needed.
  • Work flexibly to adapt to changing priorities and tasks.
