About this Role

Reporting to the Associate Director of Burren Asset Management, a trading company of Fexco Property Services, the Building Manager role exists to mobilise new buildings and developments under our management ensuring a smooth handover from our clients, helping us building our reputation as one of the leading residential management brands in London and the UK.

The role is focussed on the holistic day-to-day running of new buildings in our portfolio, customer service excellence, and compliance & asset management. There is a real opportunity for growth in this position. As further buildings are added to the portfolio the candidate may be eligible to promote to a property manager, depending on their performance.

The Building Manager will work closely with other property management professionals with the Burren Asset Management Team to ensure best practice is achieved through collaborative working.

As a team, we work from our Highbury Office every Tuesday. For other days, the Building Manager will work from home, or from site depending on the varying needs of the portfolio, and our clients and customers.

Duties & Key Responsibilities
  • Undertake regular block inspections and create reports detailing observations and remedial work required
  • Instruct contractors to quote for and carry out repairs and compliance tasks, and verify that work has been completed to specification and to a high standard
  • Monitor and update the asset trackers to ensure the developments' compliance with health & safety legislation
  • Register and monitor communal insurance claims with the building insurance provider
  • Approve and apportion contractor invoices from service charge accounts
  • Assist in setting annual service charge budgets, and in the issuance of demands and formal notices
  • Manage supplier and creditor queries regarding payments of invoices and quotations
  • Assist leaseholders with inquiries relating to our services, and service charges
  • Create and issue correspondence to residents in relation to the efficient management of the development, ie: nuisance warnings, lease breaches, and management requests
  • Attend resident and client meetings as when required by the Associate Director.
  • Responding to emergency situations (sometimes out of hours), co-ordinating contractors and liaising with leaseholders.
  • Assisting with Health & Safety issues, reporting any incidents or near misses, and ensuring H&S audit tasks and risk assessments are completed periodically.
  • Assist in managing the site-based staff including cleaning operatives, the caretaker and concierge.
  • Proactively communicating with leaseholders in person, via email or letter, and by the resident portal and/ or app.
  • And any other duty expected by the Associate Director to aid the efficient running of the portfolio.
Skills Required
  • Attained or working towards ATPI/ MTPI accreditation
  • Experience in leasehold property management.
  • Demonstrate excellent understanding of health & safety regulations and considerations.
  • Commitment to Customer Service with excellent communication skills.
  • Maintenance and contract management experience.
  • Resilience under pressure.
  • Methodical & organised.
  • Good use of initiative, and proactive in identifying priority tasks.
  • Motivated and driven by results.
  • Experience of work to tight schedules.
