Job title: Bid & Project Support Officer
Location: Glasgow - hybrid working arrangement – 3 days per week on site

Join our team as a Bid & Project Support Officer, where you'll provide comprehensive support to bid and project management teams, ensuring all aspects of governance are followed and best practices are applied.
Operating at the heart of our Bid & Project Management Office, you’ll play a vital role in enabling us to meet Optronics and Missile Electronics (OME)’s targets and goals by applying robust processes and collaborating closely across all areas of the organisation.

Ensure compliance with the end‑to‑end Bid Process and tailored governance requirements for bids.
Support project teams by monitoring Smartcore and ensuring mandatory reporting obligations are met.
Maintain and monitor governance standards throughout the bid and project lifecycle.
Guide stakeholders and keep local documentation updated in line with the latest requirements.
Track bids and projects for audit and compliance purposes.
Prepare and deliver reports to Senior Management and key stakeholders to support decision-making.
Act as the single point of contact for bid and project activities for the job family and other key stakeholders.
Manage onboarding/offboarding for the job family, and provide training on tools (Smartcore, e‑Gate Approvals, Digital Ops Portal).
Coordinate meetings, maintain action registers, and facilitate Brilliant Basics sessions.
Analyse existing processes, identify improvements, and carry out ad‑hoc duties to support business needs.
Experience working in a Bid or Project environment as a Bid Writer / Project Assistant / Project Support Officer / Project Coordinator (or equivalent).
Awareness of bid and project management phases and lifecycles.
Proficiency in Microsoft Office applications, such as Word, Excel, Outlook and PowerPoint.
Accuracy of reporting and the ability to present data in a clear, summarised fashion.
Attention to detail.
The ability to work proactively, without supervision as well as collaboratively with the team.
Good communication skills at all levels and the ability to manage stakeholder expectations.
Confidence to manage conflicting deadlines and priorities.

It would be advantageous if currently held, however, if not currently held, it is a requirement that the successful applicant undergo, achieve, and maintain SC Clearance prior to commencing employment. To be eligible for full SC, you generally need to have resided in the UK for the last 5 years. In some circumstances, a minimum of 3 years’ residence in the UK over the last 5 years may be accepted, with additional overseas checks.
