Band 3 - Clerical Officer Diagnostic Imaging

This role does not meet the eligibility criteria for a Skilled Worker visa or a Health and Care Worker visa. The Trust is unable to offer sponsorship for this particular role.

Overview

Provide an efficient administration service to Radiology, including reception duties and answering telephones, but primarily making appointments for patients. You will be required to work at our other hospitals presently being Barnet Hospital, Chase Farm Hospital and Edgware Hospital to meet the needs of the service.

Main duties of the job
  • Provide an efficient administration service to Radiology, including reception duties and answering telephones in a professional manner, but primarily making appointments for patients.
  • Accurate entry of data onto computer systems.
  • Make appointments with patients directly and indirectly.
  • Deal with queries or enquiries that come into the department.
  • Work to deadlines and in a pressurised environment.
  • Learn to use internal hospital systems to include PACS, PAS & CRIS.
  • Collate information required prior to patients' appointments and maintain those systems.
  • Work at Barnet Hospital, Chase Farm Hospital and Edgware Hospital to meet service needs.

Job responsibilities

CLINICAL RESPONSIBILITIES

  1. Provide a high-quality reception service, on the main reception desk or in specialist areas. Duties include dealing competently, professionally and sympathetically with patients and their escorts, including those who are aggressive, distressed, or have communication difficulties.
  2. Direct patients to the appropriate waiting area (ultrasound, nuclear medicine, CT, MRI, or general X-Ray). Inform nursing staff of patient arrivals. Refer late arriving ultrasound patients to the clinic clerk for rebooking if more than 10 minutes late.
  3. Provide a high-quality responsive telephone service, handle general enquiries or refer calls to the relevant person or department.

2. To assist in the organisation and servicing of clinics within radiology.

  1. Advise patients as per agreed protocols.
  2. Send out appointment and prep sheets and deal with telephone queries.
  3. Prepare referrals for verification and/or discussion by consultant radiologists.
  4. Deal with DNA patients according to department protocols.
  5. Liaise with medical staff about inpatient appointments and ward visits.

RESPONSIBILITY FOR PATIENTS

To provide a flexible and responsive outpatient appointment service including making appointments when requested by electronic orders, by letter, telephone, or the patient's personal attendance.

Despatching any paperwork or medical preparation necessary for a diagnostic examination. Providing relevant medical and dietary information as per department protocols. This may include liaising with patients to ensure scheduled examinations do not conflict with menstrual dates. Dealing with enquiries about appointments. Changing or cancelling appointments as needed, including adjustments due to staff absence or equipment breakdown. Arranging late-booked appointments. Liaising with Radiologists about incoming referrals, booking patients per protocol. Maintaining the appointments system (appointments, consultant leave, servicing schedules, and other relevant information). Arranging patient transport, day beds, interpreters when necessary. Handling DHSS travel claim forms when presented by patients.

RESPONSIBILITY FOR POLICY AND SERVICE DEVELOPMENT

Contribute to service development and collate information for audits. Promptly notify line management of any likely breaches in performance targets. Prioritise workload, work to deadlines, and maintain flexibility for changes in job contents. Undertake other duties as reasonably required to ensure smooth running of the department. Ensure patient care matters are kept confidential.

RESPONSIBILITY FOR FINANCIAL AND PHYSICAL RESOURCES

Attend to department housekeeping duties: deal with incoming post, date-stamp non-EPR referrals, distribute as necessary, and load printers with paper, labels, and ink.

Responsibility for Information Resources

Enter data onto computer systems used by the department, including the Radiology Information System (CRIS), Patient Administration System (PAS), and Picture Archiving Communication System (PACS). Ensure excellent data quality and avoid multiple registrations. Perform data checks and searches as required. Duties include:

  • Ensure PAS numbers are recorded on the Radiology Information System.
  • Check patient details on PAS and other systems according to department protocols, including patient status, referring doctor and follow-up clinic appointments.
  • Retrieve clinical details from the EPR system when paper records are unavailable; reprint referral forms when required.
  • Ensure EPR requirements such as correct labels and current examination dates are met where appropriate.
  • Cancel any out-of-date, incorrect, or duplicate examination entries on the system.
  • Prepare images onto CD as required.
Research and Development

Participate in audits as directed by the Department and assist with any research required to improve services.
