Administrative Assistant – Business Support

Location: Leeds City Centre

Salary: £20,000 – £24,000

About the Role

We are seeking an experienced Administrative Assistant to join the Business Support Team at a well-established Yorkshire law firm in the city centre office.

This customer service‑focused role involves entering new instructions into the Case Management system, producing letters and documents, and directing phone calls through the main switchboard. Direct client interaction requires a professional and confident telephone manner.

The successful candidate will be a quick learner, an accurate worker, and a team player with a flexible, can‑do attitude. Once trained, they will use their initiative proactively to meet the needs of the business.

Key Responsibilities
  • Case Management and Data Input – Open new matters and update the Case Management System in accordance with team procedures.
  • Document Production – Produce relevant letters and documents, ensuring accuracy in all data entry.
  • Telephone and Reception Duties – Answer and direct calls through the busy main switchboard, speaking directly to clients with confidence and professionalism.
  • Document and File Management – Scan, photocopy, archive and retrieve files; handle incoming post and maintain organised filing systems.
  • Communication and Liaison – Liaise with colleagues, clients and other parties; identify potential improvements to processes and communicate suggestions effectively to management.
  • General Administration – Support the Business Support Team, working proactively to meet business needs and perform any other duties as required.
Essential Requirements
  • Experience in a similar administrative role within an office environment.
  • Ability to hit the ground running, work accurately and meet team deadlines.
  • Confident and professional phone manner; excellent data input skills; literate and numerate.
  • Ability to identify potential improvements to processes and communicate effectively with management.
  • Ability to deal with enquiries in a customer‑friendly manner; work under pressure; strong prioritisation skills.
  • Strong initiative, collaborative teamwork, quick learner, accurate worker, flexible attitude, proactive approach, strong attention to detail, excellent organisational skills.
