Overview

Role - Administrative Assistant. This role provides strong administrative support within the company's Technical Department, using Microsoft applications (Outlook, Office and Teams) and other systems (Sage, Horizon, etc.) to ensure effective execution and efficient workflows. You will work closely with the Technical Departmental Administrator & Office Manager to provide compliant administration and communicate effectively with other departments and external customers, representing the company in a positive, polite, helpful, and approachable manner.

Responsibilities
  • Answer technical enquiries on the Horizon system, technical inbox and via CRM, and liaise with the appropriate person/department to facilitate enquiries.
  • Manage customer technical training requests, confirm dates and issue certificates upon completion.
  • Maintain files in Teams.
  • Coordinate enquiries for permission requests from customers and Third Party Certification bodies with sales.
  • Issue permission letters manually and via the accreditation hub; coordinate production of data sheets with the technical team and progress these to the supply chain team.
  • Compile product buying specs via templates and submit to suppliers for signature.
  • Assist with ad hoc duties including raising purchase orders, checking invoices against quotes, and approving payments or querying as required.
  • Input archive files into the company database.
  • Perform general office duties and arrange catering for meetings, training, etc.
  • Purchase office supplies (e.g., via Amazon, Sainsbury's).
Requirements / Qualifications
  • Proficiency with Microsoft applications including Outlook, Office and Teams; experience with Sage, Horizon and other relevant systems.
  • Strong communication skills and ability to work across departments and with external customers.
  • Organizational skills and the ability to manage multiple tasks and deadlines.
Details
  • Hours: 9am to 5pm
  • Location: Stansted, Essex (Driver and use of car is very beneficial)
  • Holiday: 28 days plus bank holidays
  • Benefits: Workplace Pension
  • Start Date: As soon as possible
  • Note: The role will occasionally involve travel to the company's HQ in Scotland and other international office locations for work, training or trade events when required.
