Job Purpose
To provide efficient and effective administrative support to the school, ensuring smooth day-to-day operations, excellent communication with parents/carers and staff, and compliance with statutory and school policies.
Key Responsibilities
General Administration
- Act as the first point of contact for parents, visitors and staff; deal with enquiries promptly and professionally.
- Manage incoming calls, emails and correspondence.
- Maintain and update school records, databases and filing systems (including SIMS/Arbor or other MIS).
- Prepare letters, reports, newsletters and other communications for parents and staff.
Attendance & Pupil Records
- Record, monitor and report on pupil attendance and punctuality.
- Maintain accurate pupil records, including admissions, leavers, and safeguarding information.
- Assist with school census returns and statutory data submissions.
Finance & HR (if applicable)
- Process purchase orders, invoices, and payments in line with school financial procedures.
- Assist with payroll information, staff absence records, and recruitment paperwork.
Events & Logistics
- Support the organisation of school events, meetings, and trips.
- Manage room bookings, hospitality, and resources as required.
Compliance & Safeguarding
- Ensure visitor sign-in and safeguarding procedures are followed.
- Maintain confidentiality of information at all times.
- Support with DBS checks and safer recruitment documentation where required.
Person Specification
Essential:
- Previous administrative experience (school or similar environment desirable).
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office and/or school MIS systems.
- Ability to work under pressure, multitask and meet deadlines.
- Commitment to safeguarding and confidentiality.
Desirable:
- Knowledge of school systems such as SIMS, Arbor or Bromcom.
- Experience of working with children and families.
- First aid training.
