Job Purpose

To provide efficient and effective administrative support to the school, ensuring smooth day-to-day operations, excellent communication with parents/carers and staff, and compliance with statutory and school policies.

Key Responsibilities

General Administration

  • Act as the first point of contact for parents, visitors and staff; deal with enquiries promptly and professionally.
  • Manage incoming calls, emails and correspondence.
  • Maintain and update school records, databases and filing systems (including SIMS/Arbor or other MIS).
  • Prepare letters, reports, newsletters and other communications for parents and staff.

Attendance & Pupil Records

  • Record, monitor and report on pupil attendance and punctuality.
  • Maintain accurate pupil records, including admissions, leavers, and safeguarding information.
  • Assist with school census returns and statutory data submissions.

Finance & HR (if applicable)

  • Process purchase orders, invoices, and payments in line with school financial procedures.
  • Assist with payroll information, staff absence records, and recruitment paperwork.

Events & Logistics

  • Support the organisation of school events, meetings, and trips.
  • Manage room bookings, hospitality, and resources as required.

Compliance & Safeguarding

  • Ensure visitor sign-in and safeguarding procedures are followed.
  • Maintain confidentiality of information at all times.
  • Support with DBS checks and safer recruitment documentation where required.

Person Specification

Essential:

  • Previous administrative experience (school or similar environment desirable).
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and/or school MIS systems.
  • Ability to work under pressure, multitask and meet deadlines.
  • Commitment to safeguarding and confidentiality.

Desirable:

  • Knowledge of school systems such as SIMS, Arbor or Bromcom.
  • Experience of working with children and families.
  • First aid training.
