Job summary

A regional healthcare organization is seeking an enthusiastic Administration Assistant for the Speech and Language Team. We are looking for an enthusiastic person who can provide full clinical administration support for the Speech and Language Service.

Deputise for the administrator within the wider Community Team for Adults with a Learning Disability (CTALD).

To produce a range of resources for service users and easy read documents to support communication skills and enhance independence.

To contribute towards service improvements in a positive and proactive manner.

Main duties of the job

To display excellent communication skills in writing, on the telephone and in face‑to‑face communication in all dealings with clients, colleagues and other professionals.

Job responsibilities

Demonstrate accurate typing of correspondence using a range of Microsoft I.T. packages.

Ensure information is correctly stored and can be easily accessed when required.

Photocopying, scanning, printing, laminating and binding as required.

Prepare basic resources using Widget/Photosymbols/Twinkle software.

To maintain and co‑ordinate meetings in electronic diaries, book meeting rooms using electronic systems.

To take accurate minutes in meetings and promptly type and distribute, taking responsibility for own actions.

Liaise with staff, service users and a range of professionals in a clear and precise fashion.

Receive and process incoming and outgoing communications in a timely way.

Conversant with operational procedures within the Speech and Language Therapy Service in order to provide administrative cover for colleagues.

To ensure clients details are accurately and speedily added to the client management system (System One and Liquid logic/LAS) to ensure the appropriate administration of their clinical care.

To be fully conversant with a wide variety of administrative procedures in use within the Speech and Language Therapy Administration team and to be able to switch between them whilst maintaining accuracy at all times.

  • Previous experience of working within a team

  • Previous experience of working with adults with learning disability or with Speech and Language Therapists
  • Experience of SYSTMONE – client management system
  • Experience of using Liquid Logic (LAS) client management system
Education and Qualifications
  • GCSE/ 'O' Level standard for English or equivalent

  • RSA III or equivalent office experience
