Job description
Main duties of the job

This is an exciting and proven role within the Administration service and is dependent on the post-holder having strong communication, leadership, organisational and excellent administrative skills. The post-holder will supervise, allocate and monitor administration tasks and distribution of work to other members of the administration team ensuring the administration team delivers a high quality and comprehensive administration service. The post holder will also share their administration knowledge and skills, and will also be a key player in supporting and actioning administration tasks by undertaking general administration duties within the requirement of the team. The post-holder will work closely with the Administration Manager of the Business Unit and the Clinical Management Team within NHS Talking Therapies service.

Job responsibilities

The post-holder will coordinate and supervise a team of different grades of administrators, ensuring robust supervision and operational procedures are in place and taking operational responsibility for them and for the allocation of work.

The post-holder will be responsible for maintaining up-to-date knowledge of the full range of administrative and Navigo policies, processes and procedures acquired through training and relevant experience.

The post-holder will undertake any other general administrative duties within the requirements of the team.

The post-holder will be instrumental in the ongoing development of the electronic system and processes and pathways relative to area of service.

The post-holder will undertake any other relevant duties required from time to time as requested by Management which correspond to the general character of the post and are commensurate with the level of responsibility.

Qualifications
  • Educated to GCSE level grade A to C or equivalent including Mathematics and English Language
  • RSA/OCR Grade III Typing/Word
  • Processing standard
  • Able to demonstrate knowledge, experience and training
  • ECDL Qualification
  • Supervisory trained
Experience
  • Maintaining databases and spreadsheets
  • Previous NHS secretarial/administrative experience and knowledge of hospital administration procedures
  • Previous experience at working at Secretary/Administration level with supervisory responsibilities
  • Proven ability to direct and lead staff
  • Experience/willingness to undertake training in use of electronic systems
  • Experience of both leading and working within an administrative team
Knowledge
  • Maintaining databases and spreadsheets
  • Previous NHS secretarial/administrative experience and knowledge of hospital administration procedures
  • Previous experience at working at Secretary or Administration level with supervisory responsibilities
  • Proven ability to direct and lead staff
  • Knowledge of mental health services
  • Working knowledge of CPA
  • Knowledge of hospital administration
  • Converants with the Data Protection Act 1998
