Job Description

** This is an onsite position based in Louisville, KY with extensive travel required within the U.S. **

The Assistant Registrar is responsible for assisting in the management, care and movement of artworks within the 21c storage facility and at 21c properties. The position requires a broad variety of experience, flexibility, and hands‑on abilities with a wide range of tasks. In collaboration with the entire museum team, the Assistant Registrar acts as a custodian for the collection and loaned objects. The Assistant Registrar will work with the collections team to handle, pack and unpack artworks for travel and storage needs, and install and deinstall artworks in the collection. The Assistant Registrar will work with the Director of Collections to help with the preparation of artworks for exhibition, as well as incoming and outgoing loans, the processing of new acquisitions, including inventory, photography, and other collections‑related projects. Position will require some travel, which could include driving heavy‑duty trucks over long distances. Position requires occasional work on weekends and evenings as necessary.

Responsibilities
  • Assist with the management of the permanent collection. Monitor movement of artworks and transportation within 21c storage. Update collections database to reflect these movements.
  • Organize and maintain art storage.
  • Work with Director of Collections to process new acquisitions, which include, but is not limited to condition reporting, photographing, and numbering of artworks.
  • Work with Director of Collections to generate and/or update documentation associated with artwork being loaned to and from 21c.
  • Assist in the implementation of time‑based media project.
  • Assist in the implementation of the inventory project to assess condition and packing, physically number works, and update records for works already in 21c collection.
  • Help update and import information into collections database.
  • Monitor environmental conditions within storage facility and on 21c properties.
  • Travel to 21c properties to help assist with exhibition changeouts. This includes conducting incoming and outgoing condition reports, installing and deinstalling artworks, and packing and unpacking works.
  • Reinforces proper art handling and packing techniques for artworks of various materials, sizes and weights.
  • Work with and oversee contractors at Art Storage or at 21c properties.
  • Work with Director of Collections to plan, prioritize, and schedule work done at 21c storage.
  • Works with Chief Curator, Director of Museum Operations and Director of Collections on the planning and installation of temporary and permanent art projects.
  • Works with the Chief Curator and Director of Collections to develop and manage conservation and framing initiatives.
  • Assess and source project needs as required including manpower and materials.
Qualifications
  • Bachelor’s or Master’s degree in Museum Studies or related field.
  • At least 3 years’ experience working with museum collections.
  • Experience using and maintaining collections management databases/software.
  • Experience with ordering and maintaining supplies.
  • Demonstration of organizational skills, attention to detail, ability to focus on tasks, and ability to communicate and lead team effectively.
  • Strong working knowledge/experience with creating, maintaining, and updating condition reports
  • Knowledge of proper packing methods, including mount making, for different mediums and materials.
  • Knowledge of art handling procedures for two‑ and three‑dimensional art objects in a variety of materials, sizes, and weights
  • Experience installing a wide variety of artworks, including time‑based media.
  • Experience photographing artworks for print and digital publications
  • Experience conducting inventory, housing and re‑housing projects
  • Knowledge of the principles of supervision as well as training practices and procedures.
  • Ability to plan, prioritize, schedule, implement, and simultaneously oversee a variety of projects
  • Prepare cost estimates and make sound purchasing decisions
  • Lift and move heavy objects as required (50 lbs.)
  • Participate and communicate effectively as a member of a cross‑functional team.
  • Establish and maintain effective working relationships with museum, hotel, and restaurant staff, the general public, and representatives from other museums.
  • Explain and carry out methods and procedures relating to the handling of irreplaceable objects of art.
  • Experience driving a 26’ truck and both a fork and scissor fork lift.
  • Must be able to pass DOT required physical examinations necessary to acquire a medical examiner’s certificate from a certified medical examiner listed on the National Registry.
  • Other duties as needed and required.
