Overview

We\'re looking for a detail-oriented and experienced remote Accounts Payable Clerk to join our client’s finance team. Our client\'s business is based in the USA and is a collective of premium brands in the tattoo, pet and beauty industry.

The Accounts Payable Specialist will work in a fast-paced, high-volume environment, ensuring the accurate and timely processing of accounts payable (AP) invoices and payments. This includes managing payments to vendors as authorized by management, and resolving disputes related to discrepancies. This role plays a crucial part in maintaining the financial health of the organization by ensuring compliance, accuracy, and efficiency across all transactions.

This is a 3-month-long freelancing trial contract (full-time) that can be done remotely at home with a computer and a fast and reliable internet connection. After the evaluation period, the candidate will be reviewed and may be subject to further contract renewal.

Responsibilities
  • ACCOUNTS PAYABLE
  • Vendor Management: Maintain and update vendor information, ensuring compliance with W9 and insurance requirements.
  • Invoice Processing: Prepare payables for weekly AP check runs, including purchase order and contract review for compliance.
  • Reconciliation: Perform multiple bank account deposits and reconciliations, reconcile vendor accounts and credit card transactions.
  • Month-End Closing: Prepare monthly accrued payables and provide data for month-end closing activities.
  • General Ledger: Reclassify and reconcile general ledger, ensuring accuracy and completeness.
  • Process Improvement: Identify and implement enhancements to streamline AP-related processes.
  • CASH MANAGEMENT
  • Daily Reporting: Retrieve and store previous day\'s reports.
  • Reconciliation: Post cash receipts, record auto debit transactions, process cleared checks and reconcile cash daily.
  • Outstanding Accounts: Manage reconciliation of outstanding accounts, ensuring accuracy and timeliness.
  • Other Responsibilities: Fulfill various audit requests on time and support organizational goals and values by performing other duties as needed.
Requirements
  • Education and Experience
  • Bachelor’s degree in Accounting or Finance
  • At least 2-3 years of proven experience in accounts payable and/or accounts receivable
  • Experience in multi-entity retail and distribution business a plus
  • Technical and Other Skills
  • Intermediate Excel skills, including PivotTables and VLOOKUPs
  • Proficiency in Microsoft Office Suite
  • Strong commitment to excellence and high standards
  • Exceptional English oral and written communication skills
  • Experience with NetSuite or similar ERP systems
  • Ability to organize and manage changing priorities effectively
  • Proven ability to multitask and meet deadlines in a fast-paced environment

  • Eligible to work as a remote freelancer legally or as a contractor based in the Philippines
  • Has own computer capable of handling big data and financial tasks
  • Has a fast and reliable internet connection at home (at least 100-200 Mbps)
  • Has a quiet and distraction-free work environment at home
Hours and Compensation
  • 100% Remote, Work from home. Full-time freelancer, contractual position
  • 40 hours a week, guaranteed paid shift schedule
  • 8:30 AM to 5:30 PM Pacific Time, USA
  • Daily Breaks: 1 hour
  • US Holidays off and unpaid
  • PH Holidays are normal working days during the trial period
  • Overtime requires pre-approval by the client
  • Compensation: $6 to $8 USD per hour
  • Contract: This is a 3-month freelancing trial contract (full-time) with remote work. No benefits during the evaluation period.
  • Possible Renewal: Renewal may include benefits such as paid sick/vacation leaves, HMO health insurance, and 13th month pay, contingent on performance and client discretion.
  • Reporting To: You will report to the designated client manager and to Big Ideas Social Media Inc, the consultant and service provider (Agency). The agency will handle compensation and HR needs locally.
  • Legal Status: You will be classified as “Self-Employed” for legality and taxation purposes. You will not be an employee of the client or the agency and are responsible for declaring your own income and taxes.
