A global corporate services firm in Paris is seeking an Accounting and Administrative Assistant to support financial and administrative operations. The role requires attention to detail, strong organizational skills, and experience with French administration. Ideal candidates should have a degree in accounting or finance and be proficient in both French and English. You’ll assist with billing, invoice processing, and compliance. The salary range is between 29,500 and 31,000 euros per annum.

Responsabilités

  • Assist with preparing client invoices and ensure accurate billing in the CRM.
  • Review and confirm daily client payments received.

  • Handle sensitive incoming correspondence promptly.
  • Maintain professional communication with external parties.

Accounting and Administrative Assistant
Job Purpose :

We are seeking a detail-oriented Accounting and Administrative Assistant to support the smooth financial and administrative operations of our French subsidiaries, Digidom and Companow.

In this role, you will assist with the day-to-day processing of documents and information, help keep records up to date, and provide general support to ensure accurate and timely workflows across both entities.

The ideal candidate will have strong attention to detail, excellent organizational abilities, and a high level of reliability. This position plays an important role in helping maintain well-structured administrative processes and supporting the broader finance function.

Key Responsibilities :
Client Billing & Payment Follow-Up
  • Assist with preparing occasional manual client invoices and help ensure accurate billing information in the CRM.
  • Help review and confirm daily client payments received.
  • Support follow-up on overdue accounts through phone or written reminders to encourage timely payment.
  • Update the CRM with payment information and follow-up actions.
Invoices and Supplier’s invoices payments :
  • Support the processing of supplier invoices, ensuring required documentation is collected and approvals are obtained.
  • Track missing documents and follow up to maintain complete administrative files.
  • Coordinate with signatories to help ensure timely supplier payments.
  • Communicate with suppliers regarding invoice status or basic clarifications.
  • Assist with maintaining accurate supplier balances.
Administrative support and Compliance and Audit Assistance :
  • Handle sensitive incoming correspondence, including official notices (e.g., ATD, seizures), ensuring they are promptly forwarded or addressed.
  • Maintain professional communication with external parties such as government agencies, landlords, service providers, and other institutional contacts.
  • Help ensure that administrative and financial processes follow company policies and applicable French requirements (URSSAF, tax authorities, etc.).
  • Assist with basic reconciliations and the preparation of supporting documents when required.
  • Contribute to ensuring records are up to date and discrepancies are followed up appropriately.
  • Support updates or creation of internal procedures (SOPs) when needed.
Required Qualifications :
  • Education : Degree or diploma in accounting, finance, business administration, or a related field.
  • Experience : in a similar role.
  • Experience with French Administration
Skills :
  • General knowledge of French administrative and basic accounting practices.
  • Strong organizational and multitasking skills
  • Good communication skills in both French and English
  • Comfortable using accounting / administrative systems and in Excel.
Attributes :
  • Detail-oriented and reliable.
  • Proactive and solution-focused mindset.

Salary- 29,500-31,000 euros per annum
