This role involves managing onboarding, payroll, and office operations while supporting a hybrid work model. Formación

The Role

As our HR & Office Manager, you’ll be at the heart of our people and workplace operations. You’ll make sure our Barcelona office runs smoothly, support the employee lifecycle across both Spain and the Netherlands, and keep our remote colleagues connected and supported.

Beyond HR and office management, there are always exciting projects and new initiatives happening across the company, we’re looking for someone who is eager to roll up their sleeves and jump in to support where needed.

Hours are flexible but consistent, ideally at least 4 days per week, with 3 of those days in the Barcelona office.

What You’ll Do
HR & People
  • Coordinate onboarding and offboarding (contracts, assets, accounts, benefits, final payments).
  • Liaise with external companies for contracts, renewals, EOR agreements, and immigration / relocation cases.
  • Maintain HR records and systems (Mirro, documentation, probation / performance cycles).
  • Assist with recruiting : job descriptions, postings, candidate screening, scheduling, and offers.
  • Administer employee benefits (Cobee, Alan, ClassPass).
  • Support managers with employee well-being, engagement, and communication initiatives.
Payroll, Compensation & Compliance
  • Coordinate payroll with external providers in Spain and the Netherlands.
  • Support documentation for salary adjustments, bonuses, and commissions (together with Finance).
  • Maintain and update company policies, employee handbooks, and compliance documentation.
  • Coordinate mandatory and optional trainings (compliance, security, culture).
  • Handle incident reporting in collaboration with managers and external advisors.
Office & Workplace Management
  • Manage Barcelona office operations : lease, landlord relations, cleaning, supplies, insurance, and access systems.
  • Organize team events, all-hands meetings, and company milestones (in-office and remote).
  • Ensure a welcoming, productive, and well-supplied workplace.
Operations & Administration
  • Manage assets (laptops, purchasing, allocation, tracking, Jamf setup).
  • Oversee vendor and contractor contracts, invoices, and relationships.
  • Ensure proper filing of contracts, payroll, and employee documents.
  • Provide support with corporate filings and registrations (e.g., mercantile registry).
Systems & Tools
  • Administer Google Workspace (accounts, permissions, setup).
  • Support and maintain core company platforms (Mirro, Slack, Workable, Vanta, Jamf).
  • Collaborate with internal stakeholders on compliance (Vanta, IT / security).
Who You Are
  • 2+ years of experience in HR coordination, office management, or operations.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills in English (Spanish and Dutch are a plus).
  • Proactive, hands-on, and comfortable juggling a broad variety of tasks.
  • Tech-savvy, with an interest in improving systems and processes.
  • Empathetic and culturally aware, excited to support an international and partly remote team.
  • Curious and adaptable — eager to get involved in projects outside the formal HR / office scope.
