A leading company in the tech industry seeks an EHS Administrative Assistant in Madrid to provide administrative support focused on documentation management across various CAE platforms. This full-time role requires strong organizational skills, familiarity with EHS protocols, and proficiency in Microsoft Office. Ideal candidates will have a background in Health and Safety and a solid understanding of CAE platforms to support both internal and external stakeholders.

Formación

We are currently seeking an EHS Administrative Assistant to join our dynamic team in Madrid!

Job Summary:

The role involves administrative support with experience in CAE platform management, ensuring efficient documentation management across various online CAE platforms. The candidate will manage access to client sites according to client and legal requirements, and possess knowledge of occupational risk prevention.

Key Responsibilities:
  1. Coordinate access to client facilities with the operations team.
  2. Maintain all online CAE platform documentation up-to-date.
  3. Track internal and external documentation needs.
  4. Keep all workers' health and safety documentation current.
  5. Manage legal documents with subcontractors and customers.
  6. Represent the company in safety coordination activities with customers.
  7. Review online CAE platforms and documents per client criteria.
  8. Support external and internal customers and subcontractors.
  9. Control project status, including start/end dates and involved personnel and companies, and prepare H&S plans.
  10. Ensure proper EHS record keeping.
  11. Respond promptly to internal and external customer needs.
  12. Attend required training sessions and meetings.
  13. Coordinate updates to training and platform documentation.
Candidate Requirements:
  • Degree in Health and Safety, preferably with an Intermediate Degree at minimum.
  • At least 6 months of experience in coordinating business activities and documentation.
  • Knowledge of CAE platforms such as E-Coordina, Dokify, E-gestiona, or Ctaima.
  • Proficiency in Microsoft Office, especially Excel (advanced user).
  • Valid driving license.
  • Good communication skills.
  • Organized, methodical, rigorous, and resolute approach.
