Description

We are seeking a Finance Officer based in Germany to work part time – 15 hours per week/2 days with flexibility on which days are worked Monday - Thursday.

Salary €42,000 pro-rated.

The purpose of this role is to work closely with the Director of Finance (SCO) and Finance Officer (UK and Germany).

  • To support the day-to-day running of the finance function at an operational and transactional level.
  • Have an active role in the execution of monthly accounting activities, this includes reconciling balance sheet accounts, payroll and VAT.
  • To support developing financial strategy – development and implementation of long-term financial strategy to influence financial decision making.
Engagement
  • Work with the Director of Finance (SCO), Head of PCC & Operations and German Director on:
    • liaising with external service providers including banks, payroll provider, health insurers, insurers, auditor and tax advisers/consultants.
  • Work with the Director of Finance (SCO) and Finance Officer (UK and Germany) on Finance Business Partner support, working closely with them to ensure they understand financial numbers and are equipped with the information needed to make good, well-informed decisions.
Key Responsibilities

German Finances

  • Support the Director of Finance (SCO) in the daily operational finances.
  • Review all transactions on Intacct processed by Germany’s part-time Finance Officer within specific limits set out within WFWI-DE’s delegation of authority.
  • Review all Journal Entries posted by part-time Finance Officer.
  • Reconcile German payroll provided by the outsourced payroll company, including all monthly and year end submission to tax authorities, including VAT etc.
  • Proactively anticipate and resolve issues in a timely manner, ensuring suppliers are paid correctly and on time.
  • Work with the Director of Finance (SCO) in:
    • preparing financial accounts, ensuring that the balance sheet is fully reconciled on a monthly basis;
    • preparing annual budget and forecasting cycle for WfWI-DE, setting and communicating timetable;
    • preparing of management accounts for circulation to the Board at least three times annually for Germany;
    • preparing Budget/Forecast Analysis for Germany for submission to Board in line with budgeting and forecasting cycle;
    • preparing timely and accurate management information, analysis and draft reports;
    • ensuring German intercompany transactions are captured accurately and settled on a monthly basis;
    • liaising with global finance colleagues to ensure that German specific finance information is provided throughout the year as required and for US audit in line with agreed deadlines.
    • Supporting financial monitoring and reporting of third-party funds (institutional donors and private foundations) for Germany;
    • collaborating with global colleagues to input into the preparation of donor budgets and reports for Germany;
    • ensure that Germany are compliant with all financial regulations and laws;
    • responding to questions and queries regarding Annual Statements, Tax submissions, and Audits.

Other Tasks

  • Be responsible for personal learning and development and participate in supervision, training, and meetings as required.
  • Contributing to holistic data protection under GDPR requirements.
  • Ensure updated with changes to financial requirements in the UK and DE, including UK Charity SORP.
  • Undertake any other duties appropriate to the post as may be required.
Skills Knowledge and Expertise

Required

  • Degree in finance, business administration or a related field.
  • Sound knowledge of financial planning, budgeting, and financial reporting.
  • Proficient in using Microsoft Word, Excel and Outlook.
  • Business fluent in German and English (speaking, written).
  • Knowledge of working in an office environment and of administrative work, including electronic filing and maintaining records etc.
  • Able to work independently and within a team.
  • Exceptional organizational skills. The ability to prioritize with impressive attention to detail and maintain accuracy under pressure.
  • Ability to find solutions to problems and focus on the positive.
  • Ability to take minutes.
  • Demonstrable experience of collaboration and cross-team working.
  • Ability to represent the organization in a professional manner.
  • Flexible, ability to adapt to a varying workload.
  • An understanding of the importance of confidentiality/data protection.
  • Ability to meet deadlines and deal with an unpredictable workload.
  • Must live in Berlin, Germany and have the ongoing right to work in Germany for the duration of the contract.

Preferred

  • Experience of using Sage-Inacct and Datev system.
  • Experience of working for a charitable organisation.
  • Understanding of the role of a finance business partner.
  • Knowledge of the rRestricted funding landscape.
Benefits

We offer (based on a 5-day week), statutory minimum leave entitlement of 20 working days per year plus an additional contractual leave entitlement of a further 10 working days (pro-rata).

We work on a hybrid basis, you will be set up to work from home and also attend the Berlin office once a week.
