Operational activities - Freight Administration
Responsibilities
- Coordinating and managing export consolidated shipments, including planning ULDs built up
- Ensuring compliance with all safety and customs regulations
- Creating, reviewing, and managing all export documents (MAWBs, Manifest, BUP Loading Sheets and closing by export customs declarations with exit mark)
- Handling air freight consolidations gateway export files
- Booking and monitoring cargo space with airline partners and/or truckers via international linehauls, ensuring optimal utilisation and cost efficiency
- Tracking and tracing MAWB shipments and reporting milestones
- Liaising with airlines, handling agents, authorities, truckers and internal interfaces to ensure smooth operations
- Monitoring bookings, flight schedules, cut‑off times, and shipment statuses
- Maintaining accurate records in NextGen/CW1 and monitoring internal cost allocation
- Ensuring adherence to international trade regulations (IATA, LBA, Customs)
- Supporting audits and internal controls and collaborating with legal and compliance teams
- Acting as a subject matter expert for air freight processes and Gateway/HUB systems
- Providing guidance on routing, carrier selection, and service level agreements
- Monitoring performance of strategic airline deals and capacity agreements
- Co‑ordinating deals as a control tower team member to ensure visibility and proactive issue resolution
- Analyzing data and KPIs to support decision‑making and continuous improvement
- Participating in process optimisation and quality assurance initiatives
Applicant's profile
- Minimum 5 years of experience in freight forwarding, gateway operations or export compliance
- Strong knowledge of IATA regulations, DG handling, and export documentation
- Experience with freight systems (e.g., CargoWise) and Microsoft Excel
- Master of operational excellence and attention to detail
- Ability to collaborate cross‑functionally and manage stakeholders
- Strong regulatory awareness and compliance mindset
- Knowledge of Microsoft Office applications
- Fluent in English and German
- Willing to work on weekends (Saturday) on a rotating basis within the team
