Overview

Supply Services Clerk – Level 4. Location/schedule specifics are identified below. Job Posting #C-2025-38. Seniority is a determining factor. The Waterloo Catholic District School Board serves 38,000 students across 52 schools (Kindergarten to Grade 12) in the Waterloo Region. General Description Of Duties
  • Communicate and assist internal and external clients with respect to Board Purchasing Policy and Procedures.
  • Support the purchasing process from conception to completion in cooperation with assigned commodity Buyer(s).
  • Process purchase orders, changes, cancellations, and archiving as required in the Board Financial Information System (Microsoft Dynamics NAV).
  • Create and maintain user accounts for vendors offering online ordering platforms.
  • Maintain P-Card user accounts for board staff.
  • Provide training to board staff on various ordering platforms and purchase requisition entry, etc.
  • Prepare and maintain contract files of assigned commodities within purchasing databases (NAV, Excel).
  • Perform records management and data entry; maintain accurate records and databases on vendors, purchase orders issued, award values, schedules, calendar of anticipated purchase requirements, etc. File and retrieve documents.
  • Use computer software (word processing, databases, spreadsheets) to record, maintain, process and retrieve data and to produce high-quality documents; prepare and issue correspondence; attend meetings as necessary.
  • Manage issuing and tracking of building keys and parking passes for the Education Centre.
  • Perform customer service/reception duties for the Education Centre as required.
  • Perform other related duties as assigned.
Minimum Requirements
  • A minimum 2-year post-secondary diploma in Business Administration or Purchasing.
  • A minimum of 2 years’ experience in a similar role.
  • Microsoft Office (Intermediate) working knowledge; asset if applicable.
  • Microsoft Dynamics NAV working knowledge and experience would be an asset.
  • Ability to work in a detail-oriented environment with minimal supervision.
  • Effective oral and written communication with internal and external clients.
  • Excellent organizational skills and the ability to multitask and shift priorities as required.
  • Ability to maintain confidentiality of a broad range of business information.
  • Commitment to customer service.
  • Excellent keyboarding and file management skills.
  • Ability to work collaboratively as a member of the Supply and Administrative Services team.
Compensation, Hours, and Location

Hourly Rate: $29.58 to $31.08 per hour

Hours of Work: Permanent full-time, 35 hours per week

Work schedule determined by the Supervisor

Weeks/Year: Approximately 52 weeks/year

Location: Catholic Education Centre, 35 Weber St. W., Kitchener, ON
