Job description
Overview

Medicine Hat Public School Division

We're Hiring: Student Data & Systems Coordinator

Are you someone who enjoys staying organized, solving problems, and helping others succeed? Do you like working with data and technology but also value human connection and teamwork? If that sounds like you, we'd love to welcome you to our team at Medicine Hat Public School Division!

We're currently looking for a Student Data & Systems Coordinator—a key member of our Technology Services team who plays an essential role in supporting school operations behind the scenes. In this position, you'll help manage our Student Information System (SIS), assist school and district staff with data-related questions, and contribute to projects that impact the success of thousands of students across the division.

Whether you come from an administrative, school office, or technical background, what matters most is your attention to detail, strong communication skills, and ability to learn and adapt. If you're someone who takes pride in getting things right and helping others understand complex systems, this is a rewarding opportunity to grow your career while making a positive difference in education.

What You'll Be Doing
  • Managing Student Data: Keep student records accurate, secure, and up to date; manage data imports/exports and ensure clean connections between systems; troubleshoot data issues and work with school staff to resolve them
  • Creating Reports & Supporting Decisions: Generate reports for school staff, principals, and division leaders; help teams understand the information they're working with; support data-driven planning and improvement
  • Training & Support: Offer friendly, clear support to school staff and office teams; help others learn how to use the student information system (PowerSchool or similar); answer system-related questions and escalate technical issues when needed
  • Supporting Projects & Improvements: Help roll out new features or tools within the SIS and other platforms; work on cross-functional projects that support school operations; keep documentation updated and accessible for staff
  • Ensuring Privacy & Compliance: Help protect student data by managing access permissions and user roles; follow privacy rules, data standards, and internal procedures
What We're Looking For

We're looking for a confident communicator with an eye for detail and a heart for supporting education. You'll enjoy this role if you:

  • Have a diploma or degree in a technology, business, or admin-related field—or equivalent experience
  • Have 3–5 years of experience working with student data, databases, or large information systems (PowerSchool experience is a big plus!)
  • Are comfortable learning new systems and processes
  • Have experience creating reports, solving data issues, or supporting business systems
  • Can train and support staff with different levels of tech comfort
  • Are organized, proactive, and able to manage deadlines
  • Experience with any of the following systems is an asset (but not required):
  • SRB AtrieveERP, Edsby, SchoolEngage, SchoolMessenger, FES, SharePoint, Microsoft 365, Google for Education
Additional Requirements
  • Must be eligible to work in Canada
  • Valid driver's license and clean abstract
  • Current criminal record check and intervention record check
