We’re growing quickly, expanding nationally, and driving innovation in healthcare education with podcasts, interactive learning, and more. Our ethos, “Medicine Together,” reflects our commitment to empowering clinicians and building a better healthcare system. As we scale, strong operational foundations, aligned teams, and thoughtful systems are critical to our success. That’s where you come in.

Who We’re Looking For

We’re searching for a highly organized, people‑first, and systems‑minded Senior Operations Manager to help scale our operations, align teams, and ensure the business runs smoothly as we grow nationally.

This role is a blend of people leadership, operations strategy, process improvement, and operational oversight of funded projects and partnerships. You’ll thrive here if you enjoy building structure, working with numbers, and acting as the connective tissue between teams.

This is an in‑office, collaborative leadership role requiring strong communication, sound judgment, and the ability to move seamlessly between strategic planning and day‑to‑day execution.

Key Responsibilities

People Operations & Team Leadership

  • Oversee day‑to‑day people operations, including hiring, onboarding, offboarding, contracts, and HR policies.
  • Actively lead recruitment efforts and build hiring plans aligned with company growth.
  • Manage and support team members directly, fostering accountability, clarity, and strong execution.

Operations Strategy & Cross-Functional Execution

  • Support company-wide operational plans, OKRs, and internal processes.
  • Work hands‑on with leadership and teams to ensure initiatives move from plan to delivery.
  • Act as the connective tissue between Operations, Product, Marketing, Engineering, and Business Development to unblock work and keep projects moving.

Reporting, Finance & Operational Insights

  • Prepare, review, and maintain operational, usage, billing, and support reports.
  • Use data to diagnose issues, improve systems, and inform decisions.
  • Work closely with the Operations Manager and Accountant on financial reporting, year‑end close, and SR&ED claims.

Grants, Projects & Provincial Expansion

  • Actively manage grant submissions, reporting, and claims processes.
  • Design and implement compliant operational processes (e.g., billing and workflows) aligned with provincial regulations.
Required Experience & Skills
  • Post‑secondary degree in business, operations, finance, health administration, or related field, or equivalent experience.
  • 5+ years of professional experience in an operations or related leadership role.
  • Strong people leadership and team management experience.
  • Exceptional organization, communication, and attention to detail.
  • Analytical and financially savvy: comfortable working with numbers, reports, and operational metrics.
  • Proven ability to design, improve, and scale processes and systems.
  • Ability to operate confidently at both strategic and execution levels in a fast‑paced environment.
Nice to Haves
  • Experience in a startup or high‑growth organization.
  • Familiarity with Canadian healthcare or regulated environments.
  • Experience with grants, funded projects, or public sector partnerships.
  • Comfort working with CRMs, operational systems, and financial reporting tools.
  • Project management experience across complex, multi‑stakeholder initiatives.
What We Value
  • Collaboration: Build strong relationships and bring teams together.
  • Curiosity: Continuously improve systems, processes, and ways of working.
  • Clarity: Communicate clearly and create structure where it’s needed.
  • Ownership: Take responsibility for outcomes and follow through.
  • Drive: Help build and scale something meaningful that improves healthcare.
