We are seeking a Senior Administrative Assistant to help us on a full-time basis.

Responsibilities
  • Proactive management of workflow and tasks associated with the day-to-day needs of partners, practitioners and clients
  • Support the External Client Services team within the Business Unit, Office and/or Service line to produce high quality client deliverables, working independently and within a team
  • Enter and maintain client data in Microsoft Dynamics 365, create jobs in D365, roll forward jobs/files, and archive as appropriate for the engagement
  • General administrative duties including answering and transferring calls, filing, photocopying, scanning, e-faxing, mailing and couriers
  • Prepare and edit correspondence, reports, proposals and other documents
  • Provide billing support using Doane Grant Thornton systems, including preparing invoices and following up on accounts receivable when appropriate
  • Scan documents and embed in electronic files; send and receive documents electronically to clients via secure file transfer platforms; ensure confidentiality of sensitive information
  • Manage communications, expense administration and travel arrangements on behalf of team leadership
  • Support the Firm’s professional image and culture by demonstrating professional behaviour and building positive professional relationships
  • Other duties as required

Qualifications
  • Minimum of 3 to 5 years' experience within a professional services environment or similar industry
  • Advanced knowledge of MS Word, Excel, and PowerPoint
  • Knowledge of CaseWare (and/or Keystone) and experience in financial statement processing; experience with TaxPrep software or other similar programs would be an asset
  • Excellent verbal and written communication skills
  • Solid business acumen with strong interpersonal skills and demonstrated ability to build positive professional relationships
  • Excellent organizational and time management skills; ability to manage competing priorities and work under pressure with multiple deadlines
  • Strong attention to detail and consistent production of high quality work
  • Ability to work effectively within tight timelines on simultaneous projects
  • Availability to work overtime as required during peak business times
  • Exceptional client service mindset with ability to de-escalate potentially difficult situations
