Overview

Scheduling Coordinator role at Thales – Halifax, Wilkinson, Canada. Halifax, N.S. (CAN.), Hybrid.

The Scheduling Coordinator reports to the Coastal Planning Team Lead and assists the Ship Maintenance Lead (SML) in organizing routines and developing an integrated schedule for the Work Period. This role supports data systems, ensures data accuracy, and supports data needs for the AJISS program and the Royal Canadian Navy’s DRMIS Data Management System. It also manages preparation, monitoring, and maintenance of Work Period work lists and schedules, with additional tasks including raising purchase requisitions, collecting Objective Quality Evidence, and assisting Maintenance Coordinators with Work Pack Management.

Responsibilities
  • Provide general project support and administration to the Service Delivery Team; collect, organize, transcribe, and input data into data repositories (SFTP, SharePoint, ERP/EAP systems); liaise with key stakeholders to develop valid project maintenance packages.
  • Maintain valid and accurate project schedules with a weekly update cycle; identify schedule improvements to reduce costs and improve performance.
  • Reconcile system data with actual project performance; prepare regular reports and charts on schedule progress and performance for the Ship Maintenance Lead and stakeholders.
  • Ensure compliance with data security regulations and company policies; provide controlled and formally distributed data to internal and external customers; assist in data documentation and guidelines.
  • Generate purchase requisitions for Subcontracted Services and ensure providers have necessary paperwork and materials for maintenance tasks; ensure Health and Safety requirements are met.

  • Comply with HS&E regulations, policies, and procedures to prevent or minimize exposures to self, colleagues, visitors, and the environment.
  • Promote Thales HS&E programs by demonstrating leadership in a professional and supportive manner.
Minimum Qualifications
  • Experience in the marine industry related to shipbuilding, ship repair, or ship maintenance.
  • Competent use of scheduling tools (Microsoft Project or IBM Maximo Graphical Scheduler).
  • Demonstrated project planning experience.
  • Strong computer literacy, with proficiency in Microsoft Office (Word, Excel, SharePoint).
  • Excellent communication skills, with ability to prepare and present reports to diverse audiences.
  • Experience/knowledge with ERP or EAM systems (SAP ECC, IBM Maximo, and/or Isherwood’s MIS preferred).
