The Opportunity

Ocean Front Village – Long-Term Care | Courtenay, BC

Position Type: Permanent, Part-Time (0.80 FTE)

Shift Schedule: Day

Shift Times: 08:00 – 17:00 (8 hour shifts)

We’re looking for an organized, detail‑oriented Scheduling Clerk who is passionate about supporting staff and ensuring seamless daily operations.

What You'll Do
  • Prepare, update, and maintain staff schedules in advance using scheduling software.
  • Coordinate schedule changes, call‑outs, and relief coverage while following proper procedures.
  • Support timekeeping functions and maintain accurate attendance records and scheduling statistics.
  • Collaborate with the Community Manager and department leaders to address staffing needs and resolve issues.
  • Participate in scheduling meetings and ensure all work is performed with safety as the top priority.
  • Other duties as assigned.
What You Bring
  • High school diploma and coursework in Office Procedures/Office Management.
  • Experience scheduling in a unionized environment; Avanti Software experience is a strong asset.
  • Proficiency in Microsoft Excel and office applications; ability to type 60 wpm.
  • Experience with electronic payroll/scheduling systems.
  • Strong multitasking, time‑management, customer service, and conflict‑resolution skills.
  • Ability to work weekdays and weekends, adapt to changing priorities, and work independently.
  • Experience in Home & Community Care is an asset.
  • A clear Criminal Record Check with Vulnerable Sector Screening.
  • A negative TB test and up‑to‑date immunization record.
