This position is for a Receptionist, Office Coordinator, and will be based at our Calgary office

About the role:

As a Receptionist, Office Coordinator within our REMS team, you own the reception area and use your relationship building skills to provide service excellence to everybody who passes through the office. You are the first point of contact for the company and are devoted to creating positive experiences by exceeding expectations with both business and personal interactions. You bring your resilience and a proactive approach to any project that you tackle. You are always open to lending a helping hand and bringing a positive attitude towards everything that you do.

Hospitality
  • Director of First Impressions – serves as the face and voice of the office.
  • Responsible for designing a delightful and welcoming environment for employees and guests.
  • Greet clients in a friendly and professional manner in person and over the telephone.
  • Skillfully answer and direct incoming telephone, email, and online inquiries.
  • Direct incoming and outgoing mail; arrange and track couriers.
  • Act as a brand ambassador, positively representing and promoting company culture and values to clients, visitors, and employees.
Operational effectiveness
  • Oversee the office\'s overall operations.
  • Collaborate with partners and business leaders to ensure a seamless onboarding journey for new employees.
  • Liaise with key suppliers/vendors; ensure contracts are organized and up to date.
  • Responsible for maintaining an appropriate inventory of stationery, office, and kitchen supplies.
  • Update internal process documentation for Reception and the Business Services team.
Facilities Management
  • Ensure meeting rooms and shared spaces are well kept and properly maintained.
  • Proactively oversee all property and related items: point person and Landlord liaison for facilities, cleaning & maintenance.
  • Assist with workplace space allocation: regular floor plan updates.
Special Projects/Events
  • Coordinate and support in-office employee and client events.
  • Perform a variety of administrative duties and tasks as assigned.
Real Estate Management Services / Special Projects
  • Oversee the MRI Angus Work Order system.
  • Prepare and distribute MRI Angus reports.
  • Maintain tenant/property contact information and tenant manuals.
  • Support the property management team with tenant communications and community engagement events.
  • Administer the Tenant Insurance Certificate program.
  • Perform a variety of administrative duties and tasks as assigned by the property management team.
  • Provide support and coverage for other team members as needed.
What you will bring
  • Minimum 2 years of business or office experience in a progressive, fast-paced client-facing environment.
  • Excellent interpersonal and communication skills, ability to work with a diverse group at all levels of the organization.
  • Strong attention to detail, highly organized and dependable, with strong ability to prioritize and follow up, including being flexible and adapting to work effectively in changing situations.
  • Team player and ambassador for process improvements and sharing of best practices.
  • Proficient in Microsoft Office: Word, Excel, PowerPoint, and Teams, including Outlook, with demonstrated ability to learn other programs quickly.
  • Experience in the Commercial real estate sector or a related industry would be an asset.
  • Experience with Yardi and MRI Angus would be an asset.
