You will mainly be responsible for carrying out administrative tasks and managing client accounts for medical and pharmaceutical translation requests (processing and assessing language projects, assigning tasks to qualified translators and revisers, managing deadlines, communicating with clients and language resources, preparing quotes, sending invoices, and various related tasks). Although the position is primarily focused on coordination, you may occasionally draw on your language skills when needed (a degree in translation may be an asset, but it is not a prerequisite). Requirements
- Bachelor’s degree in translation, writing, communication, or a related field
- Experience with the FlowFit project management system is an asset
- Experience with MemoQ/Trados Studio is an asset
- Interest in science and health
- Excellent command of written and spoken French
- Advanced English; frequent follow-ups with English-speaking clients (written and spoken). Regular conversations
Main responsibilities
Coordination of requests and assignment of projects
- Receive client requests for translation, revision, writing, or transcription of documents. Respond promptly to client requests.
- Properly assess the work to be done and the timelines provided, and confirm the feasibility of projects within the required deadlines.
- Select the resources who will carry out the work.
- Assign projects and provide resources with all necessary documentation.
- Answer resources and/or forward questions to clients when needed.
- Receive final documents, perform the last checks to ensure impeccable quality, and deliver the projects to clients.
Administration and archiving
- Create projects in the project management portal; keep projects up to date while they are being carried out and after they are delivered to the client.
- Generate invoices using billing software and ensure compliance with established price lists.
- Receive and approve freelancers’ invoices.
- In case of issues with the quality of delivered projects, the coordinator is responsible for investigating the source of the problem so that corrective measures can be implemented.
