Job Description: See below for responsibilities and qualifications for the Project Coordinator role at CHEO. This posting includes internal application notes, general CHEO information, and required pre-screening and vaccination statements.

Responsibilities
  • Project Planning and Initiation: Develop comprehensive project plans including scope, budget, schedule, and resource allocation. Assist in risk assessment and risk registers with key stakeholders. Coordinate with hospital leadership and department heads to align project goals with organizational objectives.
  • Project Execution: Support all phases of project implementation from feasibility and design to commissioning, handover, operational readiness, and move management. Manage project teams including architects, engineers, contractors, and subcontractors. Ensure compliance with regulatory requirements, hospital policies, and safety standards.
  • Technical Aspects: Use advanced project management software to track progress and manage resources. Understand mechanical, electrical, medical gas, and other hospital infrastructure elements. Integrate sustainable design principles and energy-efficient technologies where appropriate.
  • Contractual Aspects: Coordinate with CHEO procurement for services, FF&E, and procurement activities, including postings, evaluations, and award. Develop scope of works and evaluation criteria to support procurement. Administer standard contracts (e.g., CCDC, OAA, CHEO service agreements) and address contractual disputes or issues promptly.
  • Budget and Change Management: Monitor project budgets and control costs to prevent overruns. Track expenditures and support change management processes.
  • Stakeholder Communication: Serve as the primary contact for project stakeholders, provide regular project status updates, and facilitate collaboration among team members.
  • Quality and Performance Monitoring: Implement quality control measures, conduct site inspections and audits, and address deviations with corrective actions.
  • Reporting: Prepare detailed project reports, maintain documentation, and utilize reporting tools to provide real-time data to stakeholders.
  • Other: Maintain alignment with CHEO values, ensure documentation accuracy, and support consolidating project knowledge for future initiatives.
Qualifications
  • Bachelor's degree in Engineering, Architecture, or related field OR combination of postsecondary education and relevant construction project delivery experience (Essential).
  • CAPM certification or equivalent (Preferred).
  • Minimum 3 years of project management experience with a focus on construction project delivery (Essential).
  • Ability to manage multiple projects simultaneously and work under pressure (Essential).
  • Criminal Record Check (Essential).
  • Excellent interpersonal and professional communication (Essential).
  • Public speaking and demonstrations (Preferred).
  • Excellent organizational skills and MS Office proficiency (Essential).
  • MS Project proficiency (Preferred) and familiarity with project management tools (Essential).
  • Strong analytical and problem-solving abilities (Essential).
  • Ability to build and maintain positive relationships with diverse stakeholders (Essential).
  • Commitment to delivering high-quality results and continuous improvement (Essential).
