Project Administrator

We are currently seeking motivated candidates for the position of Project Administrator. The successful candidate can be based at any one of our Eastern Canada office locations: Fredericton, Halifax, Moncton, Saint John, St. John’s, and Sydney with the opportunity for flexible work arrangements to help balance the competing demands of work and personal life.

As a Project Administrator you will showcase your financial, organizational and communication skills in a fast‑paced professional office environment. Responsibilities
  • Project Administration: Project Initiation and Planning

Support execution of agreements, initiate projects in Dillon’s financial management system, facilitate project plan completion and distribution to team, support health and safety plan preparation and communication.

  • Project Execution: Assist with the development and maintenance of documentation in accordance with Dillon’s quality management system, undertake document management of pertinent project information, provide enhanced and embedded project support to meet unique project requirements on an as‑required basis, including administrative support and task coordination.
  • Project Monitoring, Controlling, and Project Closing: Facilitate monthly invoicing, financial monitoring, budget analysis, and data entries in Dillon’s financial management system, support scope change development and addition to the financial management system, liaise with Dillon’s finance department, support project close‑out.
  • General Office Support: Assist with general office‑related administrative activities as required, and contribute to fulfill the variety of tasks necessary to run the office effectively.
  • Learning and Development: Commitment to self‑development and ongoing learning and professional development.
Qualifications
  • Minimum of two years administration related experience or demonstrated combination of education, skills, knowledge and experience.
  • Prior experience in a project administration or project coordination role is considered an asset.
  • Post‑secondary education in a project management or an administration related program is considered an asset.
Experience
  • Understanding of basic accounting principles, terms and financial functions.
  • Understanding of project management concepts.
  • Proficient in the use of the Microsoft Office Suite, specifically Word and Excel.
  • Excellent attention to detail, a high regard for accuracy, and the ability to provide high quality outputs particularly in processing files and records with accuracy.
  • Excellent interpersonal, organizational and communication (written/verbal) skills.
  • A team player with the ability to multi‑task; collaborates with others to promote understanding and provide necessary support.
  • Experience in a Professional Services consulting firm (engineering/environmental/planning) is considered an asset.
