Status: Temporary Part-time Support

Hours: 24 hours per week

Salary: Pay Band 8: Start $30.62 per hour

About the PSO Learn & Earn Position

The incumbent will provide direct support to the Learn and Earn PSW program in the Faculty of Health and Life Sciences and will provide a comprehensive range of support services to students, professors, program coordinators (PCs), and external stakeholders in their assigned cluster of programming. Responsibilities include, but are not limited to, administrative, program, financial, human resources, student, marketing, and inter-departmental support. The incumbent also acts as a resource to students, professors, PCs, and administrators on the application of the College’s academic policies and procedures. It is expected that the incumbent will continue to develop opportunities that directly impact the learning environment. The volume and diversity of students encountered enhance the customer service requirements of this role.

Responsibilities

Program Support

  • Respond to internal and external inquiries.
  • Provide administrative support to key stakeholders with the annual program review and renewal process, including program mapping, course outlines, calendar reviews, and Faculty guides.
  • Support Program Planning Development and Renewal curriculum changes in accordance with Ministry and internal rules and deadlines.
  • Support Program Advisory Committees ensuring procedures are followed.
  • Prepare, disseminate, and archive student and program communications.
  • Collect information such as scholarship forms, awards nomination forms, signed SWFs, and documentation for accreditation reviews.
  • Provide administrative and logistical support for program-related meetings and events.
  • Provide planning support including calendaring, course scheduling, and loading sheets.
  • Maintain program records in appropriate databases (e.g., student records, e.g., grade change forms).
  • Provide support to Academic Leadership with regard to all program services and evaluation.

Administrative Support

  • Generate required reports for programs to support the Faculty’s strategic objectives.
  • Support creation, implementation, and tracking of special projects including project mapping and completion monitoring using appropriate tools.
  • Analyze service delivery and/or internal processes to recommend improvements and implement efficient internal processes for service delivery.
  • Participate in and contribute to program and cross-college committees as required (this may include room bookings, creating agendas, note-taking, tracking deliverables, attendance, and payments if required).
  • Support Faculty-wide meetings and events.
  • Provide backend support in creating Standard Workload Forms (SWFs), including data extraction, reporting, and administrative updates.
  • Process facilities work orders and track requests until completion.

Financial Support

  • Under the direction of the AL, generate financial reports.
  • Ensure purchasing policy is adhered to.
  • Provide financial support to the AL within the Faculty.
  • Analyze budget transactions to identify errors and advise on improved budget allocations.
  • Remain informed on approved vendors and changes to rules.
  • Responsible for Chrome River receipt reconciliation for the Learn and Earn program.

Student Services and Support

  • Respond to student inquiries and redirect as appropriate (e.g., financial awards, scholarships, appeals, petitions, SAFs, etc.).

Human Resources Support

  • Produce, collect, and process contracts for part-time Professors/Instructors, part-time administrators, part-time support, and work-study employees.
  • Process information in HRMS and other HR-related processes, including entering timecards and processing PAFs, and follow up on HR/pay-related concerns.
  • Support onboarding processes and troubleshoot when required.

Other Duties As Assigned

  • Performs other related duties or projects as assigned, including assisting and supporting other staff, areas, or events within the department/Faculty as required.

Qualifications

Education

  • 3 year degree or diploma in Business, Communications, Entrepreneurship, Finance, Human Resources, Information Systems, Marketing and related fields.

Experience/Skills

  • Minimum of three (3) years’ progressive administrative or student advising experience in a post-secondary environment.
  • Experience with compiling and analyzing research-based data, producing reports, and identifying trends to develop solutions and strategies.
  • Experience with drafting and proofreading communications, supporting and/or advising students on course and program selection, curriculum planning, and academic program delivery; interpreting policies and procedures and supporting events.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, Access, PowerPoint) and Adobe Acrobat.
  • Excellent time management and multitasking skills; ability to work independently with minimal supervision; strong interpersonal skills.
  • Ability to use office equipment and troubleshoot minor technical issues.
