Job Description

Answer phones and inquiries, contact customers to schedule appointments, and use in-house computer software to track shipments and enter status updates. Perform photocopying, scanning, sorting and filing of documents based on various parameters. Maintain reports and track missing and damaged shipments.

Work Schedule

Tuesday & Wednesday 05:00-15:00, with possible Thursdays.

Responsibilities
  • Scanning and Digitizing Documents
    • Scan shipping and delivery documents (bills of lading, delivery receipts, shipping manifests, etc.) into the company’s digital system.
    • Verify scan quality and ensure clarity, legibility, and correct orientation.
    • Convert physical documents to digital formats (e.g., PDFs) as required.
  • Data Entry and Document Management
    • Enter key details from documents into the internal database or Transportation Management System (TMS).
    • Maintain digital filing systems and organize scanned files for easy retrieval.
    • Track and update shipment statuses (delivery confirmations, status changes, etc.).
  • Quality Control
    • Ensure accuracy by checking scanned documents against originals and addressing errors.
    • Troubleshoot scanning issues (e.g., jammed paper, equipment problems).
  • Communication and Coordination
    • Coordinate with drivers, dispatchers, and other departments to clarify discrepancies or missing information.
  • Document Retrieval and Distribution
    • Retrieve digital files as requested and email scanned documents or reports to appropriate parties.
  • Managing Paperwork Backlog
    • Sort and prioritize incoming documents and manage backlog for digitization.
  • Compliance
    • Ensure scanning and data entry processes comply with industry regulations, including transportation and safety regulations.
  • Report Generation
    • Generate daily, weekly, or monthly reports related to scanned documents, system errors, or inventory of processed paperwork.
  • End-of-Day Tasks
    • Close out the day by ensuring documents are scanned, saved, and filed, and hand off work to the next shift as needed.

Compensation & Benefits
  • Hourly wage to start: $24.00
  • This position is eligible for overtime for hours over 8 per day or 40 per week.
